Duties and Responsibilities

  • Provide technical assistance for clients in searching and dealing with I-20 processes with universities in USA, Canada, Europe, China, and Australia.

  • Receive and check the accuracy, completion, and legality of the client’s requested supporting documents for visa and applications

  • Process individual client information/instruction -receive, scan, arrange and submit client documents into the operating system and manage  ad-hoc activities  for requesting customer companies

  • Send and receive frequent and prompt messages regarding visa applications and any visa processing updates via e-mail, postal services, and video conferences

  • Tracks each client’s university and visa applications

  • Respond to client queries on visa application forms and documents needed in support of the application.

  • Ensure timely reverts and regular follow-ups to clients on emails, phone calls, 1-on-1 interactions

  • Ensures key case documents are properly scanned and documented in the system and well processed

  • Checking university & Embassy visa application forms for accuracy and printing off documents to support individual visa applications

  • Provide detailed orientations and practical training for clients on the Embassy interview process

  • Run reports on operations and client payments to assist with the visa process

  • Regularly update binding client agreements for Educational consultancy services.

  • Advise a client on traveling issues that requires thorough knowledge of the host country’s background information on local customs, traditions, and residence regulations.

  • Follow-up, update and communicate individual case status to the client him/herself and customer care units

  • Escorts applicants to the Embassy for their visa application and interview appointments.

  • Facilitate and assist clients in   online payments systems, which may be required in the process

  • Keeps informed of laws and regulations related to general visa issues and work permits in different countries.

  • Exercises discretion degree of professional responsibility in handling personal and confidential applicant information and documentation.

  •  Keeps fluent interaction with the Visa Unit Staff, Customer Care Unit, and General Manager, providing advice, recommendations, and feedback on visa operations, as appropriate, to establish state-of-the-art daily visa processing.

  • Keep updated and properly arrange the ongoing cases and closed cases in the system

  • Independently replies to routine inquiries identifying urgent and complex queries coming from companies and embassies.

  • Deal with Trade fairs, business conferences, and other new projects

  • Provide technical assistance in visitor and business visa consulting occasions and facilitation services

  • Prepare on a monthly basis reports on visa consulting and facilitation works

  • Performs other duties as needed.

Employment Nature- Permanent after the prohibition period.

Job Requirements

Qualifications and Skills

  • Bachelor's degree in IT, Marketing, Business Administration, Computer Science, Management, Sociology or related field

  • A minimum of 2 years of practical experience in service companies. 

  • Excellent interpersonal communication skills

  • Proficiency in English and Amharic languages

  • Teamwork ability

  • Result-oriented, self-motivated, with attention to detail, and with a positive attitude

  • Cultivate goodwill and has good communication and  relationship with foreign companies

  • Have strong social skills and a presence, enabling you to interact and deal with officials effectively

  • High level of IT knowledge and internet usage- Handling and using professional e-mail systems and videoconferences

  • Sound Experience in service provision areas, like in an Embassy and Air lines with Hotel, and airlines reservation/booking system experience will be an asset.
