Executing the stock management activities (receipt, storage, and issuance to projects or other departments of medical supplies, food items, spare parts, tools, equipment and/ or other logistics materials), according to the line manager’s instructions and MSF standards and protocols, in order to ensure the overall functioning of MSF activities
Duties and Responsibilities
Supervising materials and goods orders and dispatch in order to ensure its rational use.
Receiving orders and deliveries, identifying and reporting potential discrepancies against cargo manifest or others. Stores materials in accordance with the system in force in order to ensure continuous availability.
Updating and/or creating stock cards for all stock items immediately after reception of goods. Checking the received cold boxes and controlling the cold chain-monitoring card
Storing materials in accordance with the system in force in order to ensure continuous availability ensuring that all items are well organised and correctly stored, well protected, fully identified and easily accessible (cleanliness, security, access, etc.).
Monitoring the store temperature and ensuring Cold Chain items are stored in an adequate temperature. Keeping a special control of “sensitive” goods: numbers of lots, expiry dates, packaging and special storage conditions
Preparing orders on time before sending goods, and packs (according to transport means) weighs and labels freight with corresponding shipping number, destination, number of shipping units, way bill number, weight and mode of transport in accordance with the line manager’s instructions
In conjunction with the line manager, performing physical stock counts in accordance with the frequency previously defined. Following up stock levels with regards to alarms thresholds, stock out and expiry dates.
Controlling warehouse limited access to authorized personnel and ensuring doors and other exits are secured. Immediately informing the line manager of any problems arising in the course of the work, particularly with regard to damage, loss, attempted break-ins or theft in the warehouse
Assisting the line manager with preparation of the stock reports
Reception of goods:
Responsible for checking the quantity and quality of drugs received from suppliers, other organizations.
Responsible for checking of the cold box directly on reception and control the cold chain-monitoring card.
Update stock cards and/or create stock cards for all stock items, register on the stock card the reference number of the reception document as instructed by warehouse manager
Check the shipment against the reception control sheet and report any discrepancy ( Check item quantity, expiry date (perishables), manufacturer and report any arising issues/concerns
Register results on Reception Control and File all documents related to cargoes reception
Issuing of goods:
On the basis of the stock request and approval of warehouse manager, prepare outgoing goods.
Ensure proper packing and labelling of freight in accordance with the instruction provided by the supervisor.
Issues goods in compliance of FEFO and/or FIFO principle and other MSF requirments
Update stock cards immediately after issuance of goods and register the reference number of the delivery document or stock request.
Receive Stock requests, Check Stock Requests and process them as per supervisor’s authorization;
Stock management/administration :
Ensure all required in formation are correctly and entirely recorder on the stock cards. (Product specification, MSF code, batch number, expiry date, received or issue date, stock balance, in, out and reference number of reception and delivery documents.
Ensure items are properly organised and are correctly stored, well protected, fully identified and are easy to get to (cleanliness, security, access …).
Record the physical balance on the Stock Card after every movement and report any discrepancy as it arises
Responsable for monitoring the store temperature including cold room and report any deviation to the supervisor
Ensure all warehouse paperworks( cargo papers, storage condition checklists, …) are filed following MSF guidelines
Handling of expired medical supplies
Remove all expired drugs from stock to the quarantine zone in the medical warehouse as instructed by warehouse manager
Update the stock card with remark “expired taken out of stock”.
Record the expired items and share the list with Warehouse manager on monthly basis and Inform the warehouse manager any other point related to expiring/expired items
Others
Keep areas of storerooms and warehouses clean and tidy.
Report any incidents to supervisor (accidents, loss or damage of goods/equipment, existence of pests/Rodents of any kind, leakage, crack etc.)
Any other activiry as maybe requested by the supervisor

Certification/diploma in Pharmacy
2. Experience
At least Six previous experience in medical store management preferably with INGO
3. Languages
Mission language essential(English).
4. Knowledge
Essential basic mathematics and use of measuring equipment
Desirable computer literacy (word, excel)
Desirable ability to do basic repairs
