Job Description

A hotel event manager is responsible for planning, organizing, and executing all events hosted by the hotel, from initial client consultation to post-event analysis. Key duties include managing budgets, coordinating with vendors and staff, overseeing logistics like venue setup and catering, and ensuring client satisfaction and a smooth event flow. 

Core Responsibilities

  • Client and event planning: Liai       se with clients to understand their event needs and preferences, create detailed proposals, and develop event timelines and concepts.

  • Budget management: Develop and manage budgets for each event, track expenses, and handle all financial aspects, including post-event billing.

  • Vendor and staff coordination: Negotiate with and manage vendors such as caterers, decorators, and AV teams. Brief and guide on-site staffs to ensure all event tasks are completed effectively.

  • Logistics and execution: Oversee all logistical details, including venue layout, equipment setup, catering, and entertainment. Manage the on-site execution of events, troubleshoot issues, and ensure a seamless experience.

  • Marketing and promotion: Develop marketing communications for events and manage their distribution to potential attendees.

  • Post-event evaluation: Gather client feedback, evaluate event performance, and help implement improvements for future events. 

 

Job Requirements

Required skills and qualifications 

  • Organizational and time management: Exceptional skills are needed to manage multiple events and complex logistics simultaneously.

  • Communication: Strong abilities are essential for liaising with clients, vendors, and staff, and for creating proposals and marketing materials.

  • Problem-solving: The ability to think creatively and adapt quickly to unforeseen challenges is critical for handling issues that arise during events.

  • Leadership: Experience in leading teams, delegating tasks, and managing staff performance.

  • Technical proficiency: Experience with event planning software is often required.

  • Hospitality experience: A background in the hospitality industry is beneficial for understanding client needs and maintaining high service standards. 

  • Education: A bachelor's degree in hospitality, marketing, communications, or business is often preferred. A certificate in event planning is also an option.

  • Experience: at list 3 years of experience in event planning or a related role is crucial..

  • Software proficiency: Familiarity with event management software, as well as basic office programs like word processors and spreadsheets, is necessary.
