Main Duties and Responsibilities

Under the direct supervision of the DGM for Corporate Resource Management, the Senior Secretary I,  is responsible for providing office assistance and performing secretarial duties to the respective office, typing  letters, handling facsimile and email messages and submitting same for approval; scheduling  appointments, taking minutes, receiving  and transferring  telephone calls. 

Detailed Duties and Responsibilities 

  1. Handles and routes incoming and outgoing correspondence, prepares letters, minutes and reports using word processor;

  2. Operates and handles facsimile and internet communications;

  3. Maintains records of incoming and outgoing correspondence and mails of the office and   classifies and organizes the filing system of the office;

  4. Answers telephone calls and provides information to callers, transfers calls or receives messages;

  5. Greets visitors amicably, handles customers courteously and facilitates their needs without delay;

  6. Forwards instructions, messages, reminders and circulars from the Resource Management D/GM’s Office to concerned  work units;

  7. Checks out stationery and other supplies from the store and distributes same among the staff; 

  8. Keeps  the confidentiality of office information;

  9. Ensures the efficient handling and safe keeping of office machines and equipment;

  10. Performs other related duties as required.

Job Requirements

From recognized college/TVET Level IV /10+3/ diploma in Secretarial Science and Office Management/ Office Administration & Secretarial Technology/Secretarial Science and 4 years related work experience
