Main Duties and Responsibilities

The Executive Secretary I, accountable to the General Manager is responsible for performing secretarial activities in the General Manager’s Office; rendering secretarial activities for staff services reporting to the General Manager, keeping records and maintaining files; taking minutes of meetings; receiving messages, scheduling appointments to visitors who want to see the General Manager; transmitting messages to concerned work units from the General Manager.

Detailed Duties and Responsibilities 

  1. Performs all secretarial activities like typing letters, documents and the like by a computer, drafting routine letters, sending and receiving e-mails and fax messages for the departments reporting to the General Manager;

  2. Classifies materials for filing, keeps a variety of records, compiles and prepares statistical and other data from such records;

  3. Opens, sorts and directs incoming mail and maintains control over incoming and outgoing correspondences;

  4. Takes and transcribes oral dictation, transcribes letters and prepares correspondences for the General Manager’s signature;

  5. Arranges and assembles materials for staff meetings;

  6. Receives visitors to the General Manager’s Office, arranges appointments and keeps him/her up-to-date on matters requiring his/her attention;

  7. Handles petty cash fund as per the established financial procedures for miscellaneous expenses;

  8. Reminds appointments & gathers materials or information on the subjects under consideration;

  9. Transmits messages, instructions etc. from the General Manger to other work units;

  10. Proof reads letters before signature by superior for official release;

  11. Requests office supplies by checking the existing inventory records;

  12. Maintains confidentiality in all matters of verbal and written information; 

  13. Prepares material for mailing, sorts and files correspondence, locates and removes data from files;   

  14. Answers and clarifies business inquiries of routine nature on her own;

  15. Answers and screens telephone calls to the General Manager or other appropriate officials;

  16. Explains to employees, visiting guests or representatives of the external organizations about the company’s policies, regulations and general business;

  17. Operates Fax, Copy Machine and related office equipment;

  18. Performs other job related duties as required.

Job Requirements

From recognized university/college first degree in Secretarial Science & Office Management/ Management and 4 years related work experience
