Duties & Responsibilities:

Team Management

• Manage File Operators and align team with company strategy.

• Set service quality goals and assess operator performance.

• Develop team competencies and ensure proper induction for newcomers.

• Ensure smooth file/issue transfers between operators.

• Apply leave management policy

Client Operational Relationship

• Receive transit orders and validate documentation.

• Request missing documents or additional instructions when necessary.

• Keep clients informed on file processing progress (standard or specific reports).

• Alert clients of any operational issues.

• Support credit control for cash collection issues.

Monitoring File Processing

• Ensure SOPs are applied at all process steps.

• Allocate files to Operators and validate file opening.

• Monitor processing progress and update documentation or business software.

• Assist Operators in operational issues.

• Archive files (physical & electronic) at least once a month.

• Implement improvements for processing quality.

• Control accuracy of documentation and formalization.

Gross Margin & Disbursement Compliance

• Understand quotation details for ongoing operations.

• Choose appropriate means to perform operations as per client quotation.

• Validate supplier invoices and client invoices with required attachments.

• Check disbursements for each file.

• Alert SALSM when operations do not align with quotations.

Cost Control

• Monitor COM unit costs, including salaries, overtime, and special fees.

• Ensure costs allocated to the COM unit are correct.

Management Reporting

• Alert SALSM on significant operational issues.

• Inform Sales department of quotations not compliant with COM goals.

• Identify and work on issues arising during file processing

Job Requirements

• Education: BA Degree in any social science fields

• Experience: At least 6 years’ related experience in the Freight forwarding Company
