Job Description

An Executive Secretary provides high-level administrative and secretarial support to senior executives or management. Key responsibilities include managing the executive’s agenda, planning appointments and meetings, attending meetings and taking minutes, handling phone calls and correspondence, making travel arrangements, maintaining records, and assisting with financial and office management tasks. The role requires excellent time-management, organizational skills, confidentiality, and proficiency in office software and basic accounting procedures. Executive Secretaries act as a liaison between executives and internal/external stakeholders, ensuring efficient communication and smooth office operation.

Duties and Responsibilities:

  • Provide executive and administrative support, manage office communication, and maintain organized records.

  • Maintain executives’ schedules, appointments, and meetings coordination

  • Attend meetings and record minutes

  • Screen and redirect phone calls

  • Manage incoming/outgoing correspondence (email, letters, packages)

  • Arrange travel and accommodations

  • Handle confidential documents securely

Job Requirements:

  • Education: Diploma/Degree in Secretarial Science, Management, or related field

  • Experience: Minimum 3 years’ relevant experience

  • Excellent communication, organizational, and computer skills
