VIS - Volontariato Internazionale per lo Sviluppo is an International NGO based in Rome, Italy, and accredited by Charities and Societies Agency of Ethiopia as a Foreign Charity Organisation.

VIS works particularly in the education and training sector in order to educate, teach and sustain children and youths socially at risk; assist and rehabilitate street children, promote the development of local communities, sustaining local educative realities and the development of youth enterprises.

VIS Ethiopia is seeking a candidate for the post of Administrative and Human Resource Officer, based in Addis Ababa.

Job purpose

Under the overall guidance of the Country Administrator, the Administrative and Human Resource Officer and is responsible for:

·         to manage, coordinate and implement the organization’s administrative duties.

·         the application of the organization’s human resource policies.

 

Job Requirements

Tasks and Responsibilities

Administration

·         Assist the Finance and accounting department on their administrative duty when requested.

·         Process administrative transactions in support of both Addis Abeba office operations and project office operations such as filing, typing, copying,  scanning, etc.

·         Organization of office management (offices, supplies, inventory). Implement property management processes such as, for example, property control record, distribution record, labeling, physical count. Manage office assets and project assets and ensure the asset register is updated, accurate, and quality information.

·         Handle procurement of office supplies and assist project teams in the procurement of project goods and services.

·         Manage vehicle hire and logistics.

·         Manage travel arrangements and travel filing system for staff.

·         Preparation of consultancy contracts, assuring filing and completeness of documentation, and completely follow up on payment requests.

·         Coordination for ICT office arrangements, assess needs and problems and connect with external IT service providers to provide accurate technical assistance when required by the organization staff.

·         Other tasks as assigned.

Human Resources

·         Implements Human Resource Policies and Procedures and ensures adequate filing, registration, and documentation.

·         Coordinates, in collaboration with the respective supervisor and in conformity with the organizational matrix, the process of staff recruitment.

·         Follow up on staff contracts, implementation of policies and benefits, and timely adjustments for amendments.

·         Advises staff on Human Resource policies.

·         Prepares the monthly payroll and verifies and/or prepares payment of other staff benefits.

·         Monitor and track leave balances such as annual leaves, sick leaves, mourning leaves and inform staff in respect of organizational policies.

·         Follow up dossiers with insurances (e.g. work accident, request for maternity leave insurance, child benefits).
