ROLE PURPOSE:

The Internal Communications Coordinator is responsible for organizing and compiling organizational information and communication materials and ensuring all Save the Children Staff are kept informed of key developments in the office. S/he will do this by communicating through several channels such as the Save the Children Intranet, OneNet, email bulletins, monthly update newsletters, and designated notice boards. S/He is also responsible for gathering content from the field on project activities and achievements and creating compelling stories out of them in the form of case stories, short videos, project briefers and other communications materials.

Working closely with the Internal Communications Manager and Head of Communications, the Internal Communications Coordinator formulate the organization’s internal response to crisis PR situations and gather content from all staff and projects to share them back with the entire organization on the existing and fresh innovative platforms, and also contribute inputs for content to be shared with external readership and viewership. 

Roles and Responsibilities

 i.  Strategic Planning

  • Ensure the proper use of communications plan and strategies for internal and external communications.

Key Tasks:

• Support the preparation of internal and external communications plans for categorized humanitarian responses and development programming  

• Monitor success of plans and update as required

 ii.  Campaigns and Communications Materials

Gather content from projects such as case studies, success stories and news articles for editing and sharing, and support the organization’s campaign and advocacy work.


 

Key Tasks:

 

·       Oversee the quality and timeliness of the production of internal communications materials

·       Ensure appropriate communication happens through appropriate channels including messages to staff, the web-site, project briefs, and other channels

  • Ensure organizational initiatives and projects are successfully communicated to employees and stakeholders as appropriate
  • Assist organizational campaign and advocacy activities through proper messaging and event organizing
  • Plan for editing and writing content for a variety of internal communications mediums, such as a staff intranet, monthly magazine or regular email bulletin
  • Handle the internal communication response to crisis situations which affect organizational perception and reputation
  • Organize and /or assist with the organization of internal events
  • Ensure that cross cutting themes like child participation, gender, disability are mainstreamed in all internal communications work. 
  • Identify target audiences for messages developed with specific purposes.
  • Develop communication strategies and appropriate communication channels
  • Prepare materials, including brochures, posters, media release content, newsletter content.

 iii.  Media Relations

With the leadership of the Head of Communications, maintain and develop relationship with partner media outlets to facilitate good communication and ensure fair and accurate coverage of our humanitarian response and development work through identification of stories for media and to ensure visibility of our achievements  

 Key Tasks:

• Maintain current contact details of relevant outlets and their staff.

• Prepare media materials.

 iv. Events and Visitors Management

Control the coordination of regional or national events and visitors coming to our areas of operation

Key Tasks:

•       Monitor the coordination of events including guest lists, invitations, venue, seating, sound system, speeches, publicity etc.

•       Provide advice to partners or others who organize an event

•       Organize high level visits for fund raising and visibility purposes and document outcomes and learnings

 

1.6. Documentation and Learning

Maintain a highly updated library of stories, videos, photographs and database e for future learning and quick reference.

Job Requirements

QUALIFICATION

·       Bachelor’s degree in Social Sciences, Journalism, Media and language studies along with five years of experience in the same or similar roles

·       EXPEREINCE

  • Proven experience in developing and implementing high impact communication plans.
  • Proven experience in emergency/humanitarian  communications
  • Demonstrable experience of operating in a similar role previously
  • Excellent photography and videography skills, excellent content development for impactful stories

 

KNOWLEDGE SKILLS AND ABILITY

·       Excellent writer, skilled at distilling large amounts of information for diverse audiences

·       A proven ability to develop and manage digital content in ways that external engagement

·       Excellent multitasking abilities.  with an ability to meet deadlines and manage competing priorities

·       Creative communicator, able to develop inspiring and engaging communication products.

·       Highly developed interpersonal skills, including influencing and negotiation.

·       Highly developed cultural awareness and able to work well in a diverse environment.

·       Ability to develop advertisements, and convincing messages using different ICT tools while maintaining sensitivity

Scope & complexity of decision making ( choose the appropriate description and delete the rest)

  • Expected to make decisions on well-established procedures, under close supervision

 

PERCENTAGE OF TRAVEL (Out of duty station if applicable): Approximately 40%
