Job Overview
The executive secretary is responsible in organizing and maintaining executive schedule and performing variety of administrative tasks. The role includes, being able to contribute to the efficiency of the overall business by ensuring all assigned administrative duties are carried on timely and efficiently.
Duties and Responsibilities
· Maintain agenda and assist in planning appointments, board meetings and conferences.
· Receive and screen phone calls and redirect them when appropriate.
· Handle and prioritize all outgoing or incoming correspondence (emails, letters and packages).
· Make travel arrangements for executives when necessary.
· Monitor office supplies.
· Maintain electronic and paper records ensuring information is organized and easily accessible.
· Handling information requests.
· File and retrieve corporate documents, records and reports.
· Greet visitors and determine whether they should given access to specific individuals.
· Interpret administrative and operating policies and procedures for employees.
· Punctuality.
Work Timing: 8:30am-5:30pm
