Job Description

The Documents and Archives Manager is responsible for the Records Management of 54 capital group of companies. He/she oversees all records from their creation and preservation through to disposal.

He/she systematic controls all business-related documents (invoices, deeds, licenses, etc) throughout their life cycle. He/she organizes, maintains and protects company's information database, in both paper and electronic forms.

  • Establishing records management systems
  • Developing, maintaining and verifying record management systems
  • Overseeing the switch from paper to electronic record-keeping i.e binding the physical documents, optimizing space and gradually moving to digital storage by scanning all the documents
  • Dealing with enquiries and requests for information from both internal and external stakeholders
  • Ensuring that records are easily accessible when needed for Tax Audits, including Accounting vouchers (Payments, Receipts and Journal), stock related documents (GRN, SIV, Production report etc), bank statements
  • Ensuring that financial, legal or administrative requirements and regulations are complied with
  • Classifying and indexing records, ensuring that data is protected
  • Destroying or archiving finished data/records
  • Providing training to staff who require access to records

Job Requirements

  • Proven experience as a records manager, minimum 5 years in similar role
  • Qualification in a records, archive or information management system

  • Patience, meticulousness, capable of prioritizing
  • Good problem-solving skills, administrative and organizational skills
  • Communication and influencing skills, especially when requiring colleagues to hand over records or to use the systems correctly
  • Confidence with using databases, software and operating systems
