Main Purpose
Give support to the Regional Air Hub passengers in transit in Addis in obtaining visas, flights, accommodation, providing individual support to solve travel issues, invoicing, ensuring HR/movement follow-up and good communication between MSF Operational Centers, Partners and Providers.
Provide administrative support for custom procedures and importation of goods. Give support in ensuring that administrative procedures are known and implemented internally and externally, according to local and international laws and MSF / partners protocols, to ensure the smooth running of MSF Regional Air Hub activities
Accountabilities
• Together with the HRCo and the Project Manager, ensure that all MSF section has applied and obtained on time any visa, stay or travel (including connecting flights) for their respective passengers.
• Maintain the (5) MSF sections travel departments and partners informed about on-going processes, legal and administrative procedures, specific situations or changes in the requirements for the Air Hub management for passengers in Covid Context.
• Know all the procedures that MSF needs to follow to have passengers travelling with identified private airplane operators and regular commercial companies from Addis to Europe/Africa and vice versa.
• Follow up clearances of MSF plane and informs about any possible planned or extraordinary needs.
• Establish and maintain professional contacts with relevant authorities and partners, depending on the context and the needs of the mission.
• Arrange meetings related to administrative topics and take the minutes to report internally.
• Keep a complete and updated detailed list of all useful contacts in the Country/Mission with names, telephones, addresses and other relevant details.
• Ensure, together with the Project Manager / HRCo that all MSF activities are running lawfully and in agreement with the Memorandum of Understanding / written agreements.
• Inform the Project Manager / HRCo in case of administrative concern, possible risk or problem.
• Ensure that no illegal money is paid to any authorities or any individual, promoting and sharing MSF principles and values at all levels.
• Keep all documentation and files updated, properly filed and easily accessible for the internal users.
• Brief passengers about the context, keep them informed about the news related to their travel.
• Provide perdiem, phone, contact list or welcome document to the transit passenger (according to the situation).
• Is available to respond to passengers query, listen to their potential complain and actively look for solutions.
. Service oriented, it is expected from the Liaison Officer to be extremely polite and professional, do her/his best at any moment to help the travellers and collaborate constructively with the other MSF sections and partners.
