Background:

John Snow, Inc. (JSI) is a public health management firm, headquartered in the United States, dedicated to improving the health of individuals and communities throughout the world. JSI has been implementing public health work in Ethiopia for over 25 years.

JSI is implementing the five-year Digital Health Activity in Ethiopia, which is funded by the United States Agency for International Development (USAID). The purpose of this Activity is to support the Government of Ethiopia (GOE) to improve the quality of health services and create a sustainable health care system through the use of data for decision making, as well as to provide similar services to other countries in Africa or to respond to a crisis in Ethiopia (as needed). The primary objectives of the Activity are to 1) support information technology systems and data repository at all levels; 2) build a culture of data use; and 3) improve capacity and governance of MOH health information systems management.

We are looking for a Program Coordinator who will provide essential project administrative, financial, procurement and human resource management support to the project staff. He/she will manage a team of Program Officers and work closely with the Deputy Chief of Party and Senior Technical Advisors to achieve project success, through regular follow-ups on project progress and discussing/designing future plans.

Main duties and responsibilities:

Specific responsibilities will include, but not be limited to, the following:

  •  Create and maintain a tool to closely monitor activity implementation schedule, progress and deadlines for project milestones. Report any potential delays and/or budget overspending to the project management team.
  • Responsible for maintaining crucial project documents in an appropriate database and ensure that all documents are accurate.
  • Regularly meet with finance team to discuss/update project progress and provide an update to the Senior Technical team members to inform decision-making.
  • Develop an insightful analytical tool used by project leadership and team members to inform resource requests and executive decisions.
  • Assist with the development, revision and finalization of project documents, as requested.
  • Manage and facilitate the flow of essential information among team members.
  • Maintain project calendar and milestones.
  • Ensure all petty cash expenditure strictly comply with project guidelines and policy.
  • Keep track of each expense on Google Spreadsheet as it happens.
  • Oversee Human Resource Management activities such as ensuring on boarding package has been provided to new team members, staff timesheets are collected and sent to finance team on time, staff time out are properly tracked and proper documents are in place.
  • Provide oversight for procurement processes.
  • Oversee meeting/travel planning and logistical arrangement activities.
  • Work on developing planning and activity tracking tools in support of logistical arrangements needed for the project.
  • Responsible for implementing JSI's Accountability Framework and Code of Conduct, and adhering to JSI's polices on fraud management.
  • Perform other duties as assigned.

Job Requirements

Qualifications:

Applicants for this position should possess the following qualifications:

  • Bachelor's degree in relevant discipline (Business Administration, Management, Communication, etc) is required.
  • Minimum four years of experience in coordinating programs, providing administrative, logistical and operational support. Experience working in an international NGO is a plus.
  • Experience with USAID-funded projects is preferred.
  • Understand organization administration and HR policy.
  • Proven ability to manage the development and implementation of project activities.
  • Analytical thinker with excellent problem-solving skills, should be able to multitask in a high volume, fast-paced work environment.
  • Team player with a high level of self-motivation and ability to set and meet goals.
  • Ability to work independently, take initiative and manage various activities in a team setting with minimal supervision.
  • Strong representational and interpersonal skills.
  • Excellent written and verbal English; proficiency in Amharic.
  • Proficiency in common computer packages (e.g. Word, PowerPoint, Excel) relevant to the work.
