Children Believe Fund (formerly Christian Children’s Fund of Canada) is a child centered, community based international development organization devoted to addressing the needs of children and their families in developing countries. Children Believe Fund (CBF) creates a future of hope for children, families, and communities by helping them develop the skills and resources to overcome poverty and pursue justice. CBF works in different parts of Ethiopia aiming at improving the quality of life of children and youth in empowered communities through enhanced family and community capacity for sustainable development focusing on education, early childhood development, health & nutrition, sustainable livelihood development, child protection, disaster risk reduction and gender equality programs.
CBF has the following vacancy for the project called Pilot Child-care Centers for the Rural Productive Safety Net Program Beneficiaries in Tigray Regional State.
Job Responsibilities:
The Finance/Admin Assistant to Field Coordinator. She/he is responsible for implementing plans for the control, monitoring and reporting of financial operations and human and material resource management of the field Office including preparing project budget, financial statements, a timely and accurate processing of all accounting transactions, maintaining cash controls, preparing the payroll and personnel administration, maintaining accounts payable, validation of receipts, vouchers and financial data, and preparing financial reports, facilitating procurement and general services including transport, maintenance and staff security and assist in handling administrative matters.
Key responsibilities include but not limited to:
- Prepares project budget and detailed implementation plan, and develops monthly and quarterly cash budget and/cash flow.
- Records all transactions accurately and ensures that there are adequate supporting documents and that all transactions comply with CBF and donor’s requirements.
- Advises the Field Coordinator and applies proper fund request, financial planning, budget control, proper financial verification and approval procedures and on current and future budgetary positions and administrative issues.
- Reviews and checks petty cash reimbursements and consistently implements petty cash management practices.
- Receives and records invoices and arranges payments, ensures that all nominal ledger control accounts are reconciled monthly, follows up and investigates any queries or differences and checks any resulting journal entries.
- Posts accounting data to ledgers form accounting recodes and documents, prepares financial reports and financial statements.
- Supervises the collection of deposit and disbursement of fund and monitors bank balances ensuring that cash levels are maintained to meet payments as they are released.
- Calculate, compile and prepare payroll, and verifies that all project expenditures are justified, properly made and signed and charged to correct accounts and prepare reconciliation of all accounts.
- Ensures that all taxes are timely paid off and handle all relevant correspondence related to taxes and related issues from concerned government bodies.
- Facilitates the procurement and proper management of required supplies, material, equipment required for the project
- Assist the Field Coordinators in handling administrative issues
- Assists planning, directing and coordinating support service activities of the field offices.
- Prepares monthly, quarterly, semi-annual, annual and terminal financial reports and timely submits the same with all required supporting documents to the Field Coordinator and Finance Manager at CBF Country Office.
- Regularly monitors expenditures against budgets and report the findings to the Field Coordinator
- Ensures proper documentation of financial related documents both in hard copy and electronics copy and keeps the documents in safe and secured places.
- Perform other related duties as required by the supervisor.
Terms of Employment: Short-term (9 months)
Job Requirements
Minimum Requirements /Qualifications:
- BA degree in Accounting and Finance Management or related field
- Four (4) or more years of experience in related field
- Possess excellent computer skills, including MS Word, Excel, MS PowerPoint, MS Outlook, Internet, Quick Book and Peach Tree accounting software.
- Strong budget development, tracking, and reporting skills using computer software/ computerized accounting programs
- Good communication and organizational skills
- Good in English, Amharic and Tigrigna both speaking & writing.
- Good skill in establishing priorities and managing workload
- Ability to work under pressure and attention to details
- Able to build, sustain and develop an effective teams and team playing capacity.
- Able to achieve work within an agreed timetable by setting deadlines.
