Job Description

  • Undertake all secretarial functions: typing and word processing using MS and Project Office and other software as required;
  • Handle external or internal communication (correspondence) or management systems and maintain contact lists;
  • Create and Maintain diaries, filing (personnel records and archives of the Office and project staff, financial and other data) and managing databases confidentiality.
  • Keep on working procedures & administrative systems to satisfy standards;
  • Assist the organizers in planning & coordinating various meetings and workshops within PIU
  • Assist in the preparation of regularly scheduled reports, letter & documents.
  • Distribute letters and notices to concerned agencies.
  • Handle travel arrangements: keep track of travel slips and phone bills.
  • Assist the staff with administrative duties and clerical duties.
  • Facilitate travel and accommodation expenses for staffs at requests.
  • Track stocks of office supplies and place orders when necessary and monitor inventory.
  • Maintaining a clean and enjoyable working environment.
  • Experience in projects financed by external donors such as the WB and knowledge of the logistics sector in Ethiopia is an advantageous.
  • Perform other related duties as assigned.

Job Requirement

The desired Office Assistant should possess the following qualifications, Skill and Experience:

  • Diploma in Secretarial Science, Secretary and Office Management, or related field from reputable and recognized institutes and related fields.
  • At least 4 years’ experience in office secretary & management/office assistant or administrative related duties.
  • Proficiency in Microsoft Project and the Office applications and other software and document processing skills is required;
  • Knowledge of Office management systems and procedures;
  • Proven networking and team-building skills to work with project staffs and others;

How to Apply

The evaluation criteria will be solely based on individual experience and qualifications as follows.

  • Qualification (30%)
  • Total years of Experience (30%). This criterion further divided into two: General Experience and Relevant Experience
  • Specific Experience related to logistics and IDA financed projects (10%).
  • Written exam and/or interview for a score of (30%).
