Job Description

1.Plans, organizes, directs, coordinates and controls the activities of procurement, stores administration & inventory management functions of the Company;  

2.Follows up to ensure that the activities of the Department are carried out in accordance with established policies and procedures of the Company and that these activities are implemented at the lowest possible costs;

3.In coordination with other pertinent supervisory and supportive staff, sets a general and specific screening criteria against which international and local suppliers are evaluated in a way that optimally benefits the company from the procurement;

4.Build long-term relationships with vendors in the industry and compare proposals for price and specifications,

5.Review contract specifications on behalf of the company and negotiate with vendors optimum pricing

6.Communicate with vendors to ensure that the product arrives in a timely manner, Build and maintain long-term relationships with critical suppliers,

7.Formulates and implements policies and procedures designed to assure overall economic purchasing and efficient warehouse management;

8.Installs and enforces an effective inventory management and control system and movement of company property through approval and other controlling procedures;

9. Examines and approves high-value purchase requisition and stores administrative issues and delegates procurement matters of low-value and routine nature to subordinates;

10. Follows up and manage document preparation, floating, offer analysis, selection, placing purchase orders, following up/expediting purchase processes and overall administration of tender, proforma and petty cash purchases;

11. Ensures that purchases are made in accordance with specifications set and given in the purchase orders placed;

12. Oversees the entire correspondence, negotiation, transit and clearance and handling of other business matters with banks, customs offices, insurance companies, local and foreign firms;

13. Organizes and coordinates the physical inventory count of all warehouse items; makes sure that warehouse inventory balances are reconciled with those of stock accounting records;

14. Ensures that fast moving items purchased on regular basis are sorted, listed out and their purchases handled accordingly;

15. Identifies & keeps record of supply sources for all items & services to be purchased either locally or overseas;

16. Prepares annual budgets and work programs for activities under his supervision; reviews performance and produces reports on the same to submit to the immediate line supervisor;

17. Ascertains that samples presented for bids and actual deliveries are the same;

18. Finds and approaches potential vendors for the purchase of quality supplies, prices and delivery time advantages; 

19. Ensures that vendors give guarantee for shortage and/ or breakage of their supply to the Company;;

20. Ensures that the issuance and receipt of goods in the stores strictly follow general principles and Company policies and procedures;

21. Ensures that the maximum and minimum stock levels for all items specially for production inputs are maintained throughout the year;

22. Ensures that goods or items purchased and ready to be handed over to the store are as per the specifications described in the purchase request;

23. Evaluates the performance of employees under his supervision and submits recommendations based on the results of the evaluations;

24. Plays a role in departmental and committee meetings as well as in other deliberative and collective decision making activities of the company;

25. Administers and performs other job related duties as required by the immediate supervisor.

Job Requirements

First degree in Supplies Management/Accounting/ Purchasing Management/ Procurement Management/ Management/Business Management/ Business Administration/ Economics/ Marketing Management and 6 years related work experience, of which 3 years on the position
