Job Purpose
The role of the Head- Fleet Management involves liaising, transportation, and ensuring effective transport services to achieve company transport objectives. S/he coordinates utilization of vehicles, supervise drivers and follow vehicle maintenance
Essential Duties and Responsibilities
Receive daily/weekly/monthly vehicle requests and make vehicle assignments.
Ensure maximum availability of vehicles for business needs and they are well organized.
Reviews Daily Vehicle Log and Vehicle Fuel Log every week; verify that trips are business-related, logs are being updated, and that fuel usage and mileage is reasonable.
Report any and all accidents to HR Director as outlined.
Distribute, monitor, and control vehicle fuel coupon use. Work with finance to ensure that there are sufficient fuel coupons on hand to meet Company needs
Organizes and coordinates the efficient provision of transport services to employees
In the event of an accident, liaise with Lion Insurance to ensure the necessary insurance procedures are followed
Monitor and control vehicles to maximize efficiency in usage of fuel and regular maintenance costs
Follow the cost of the rented vehicles and advise better alternatives
Fix problems or take care of maintenance issues if vehicles are missing equipment or are not safe to travel.
Ensure that all vehicle maintenance is completed according to schedule or as necessary when problems arise
Ensure vehicles insurance renewed on time
maintain Fleet management manual, review vehicle logs sheet, periodical servicing vehicle investigate monthly fuel consumption report
Receive and review all Weekly Vehicle Inspection Reports and Pre-departure Vehicle Inspections and clear vehicles for use.
Review the quality and accuracy of all reports and information.
Complete weekly, Monthly and Quarterly Status Report, and Fuel Efficiency Summary and alert issues to HR Director by the end of every month.
Ensure that vehicle policies and procedures are followed in the regional offices and with the regional office vehicles.
Complying with Ministry of Transportation laws and regulations.
Responsible for all security matters related to the wellbeing of the employees, movement of vehicles, the organizations properties and activities in the premises of the operation
Lead and supervise this/her direct reports
Ensures all drivers adheres to the company vehicle reports submitted on time with required quality
Work with Drivers and employees to ensure full compliance of vehicle policies.
Communicate vacancies or the need for a new hire with the HR Director; recruit and hire new employee for the unit
Liaison with the insurance company
Undertakes other duties as assigned by her/his immediate supervisor
BA Degree in Logistics /Accounting/ Management or any related fields
Minimum 6 years’ experience which 2+ years in a logistics and fleet management role
Good interpersonal skills, adaptability, flexibility and ability to prioritize tasks
Good command of written and spoken
Good planning and organizational skills
Innovative and problem-solving skills and capacity to deliver under pressure.
High level of commitment and working with minimal supervision
Computer skills especially in excel spreadsheet and Microsoft word
Strong people and client relationship skills
