Contract Duration: Definite Period 

Job Purpose

To handle and process all local purchases as requested and approved by the relevant budget holders in line with Concern Ethiopia’s Finance and Logistics Procedures; to purchase quality goods and services from reliable suppliers with reasonable price and ensure timely delivery of items purchased so that Concern WW Ethiopia be able to meet its objectives. 

Main Duties and Responsibilities;

  • Carry out all local purchases as requested at program level in accordance with Concern WW Ethiopia logistics policies and procedures in all cases.
  • To under take the necessary accounting, documentation and reporting procedure required following the purchase of items based on purchase procedure
  • Confirm that the purchased items are the right model, reasonable price, right qualities, right quantities, right brand, etc as per the requesters’ specifications and are properly packed for storage as well as delivery.
  • Define priorities, in consultation with relevant person, in purchasing items as per the requests made.
  • Properly account/document for all working advance cash and cheque that is at hand for purchase related purpose.
  • Settle all floats taken as per Concern financial policies and procedures on time.
  • Make sure that Supplies Requests are properly filled with all required specifications and other relevant information before starting the purchase process.
  • Prepare purchase documents for annual government purchase report.
  • Be aware of the rules and regulations laid down by concern worldwide Ethiopia regarding the use of concern vehicles. If these regulations are unclear bring it to attention to your supervisor.
  • Drive the vehicle in safe and lawful manner and in accordance with Ethiopian traffic regulations, and concern Ethiopia transport policy and procedure.
  • Carry out daily and weekly checks recommended by the vehicle manufacturer and concern Ethiopia Transport Logistics policy. This includes preventive maintenance of vehicles. Ensure fuel tanks are full prior to any journey carried out.
  • Ensure maintenance and repairs by monitoring service sticker reminder and reporting to your supervisor in timely manner, in accordance with manufacturer recommendations
  • Fill daily activity control charge sheet and vehicle logbook information properly. Summarize and submit it at the end of the month to the transport and Logistics Officer
  • Maintain the appearance and cleanness of the vehicle, as per the Transport Logistics Policy
  • Maintain good working relationships in the workplace & with clients.
  • Maintain the safety and security of goods and vehicle as per the Transport and Logistics Policy manual.
  • Analyse vehicle performance data and make appropriate recommendations.
  • Ensure that seat belts are worn at all times and passengers are instructed to fasten them, as per the Transport and Logistics Policy Manual.
  • Ensure that the no-smoking logo is upheld within the vehicles, up-to-date First Aid kit and fire extinguisher are available in the car.
  • Adhere to HR policies and procedures such as Programme Participation Protection policy & Code of Conduct, Anti-Fraud policy.
  • Perform other duties assigned by your immediate supervisor.

Job Requirements

Person Specifications;

Essential:

BA degree or Diploma in Purchasing or Accounting and minimum of 3 or 5 years relevant experience respectively

Experience in development or emergency programs

Competencies 

Desirable:

  • Flexible, reliable, culturally sensitive
  • The ability to work in stressful environments and under pressure meeting deadlines.
  • Computer Literate, MS Office
  • Excellent communication and interpersonal skill
