Job Description

Scope: Supply Chain Assistant is responsible for all procurement processing, procurement documentation, and procurement reporting at the Field Office. Reporting to Supply Chain Officer, the Supply Chain Assistant-Procurement is responsible for the efficient coordination and management of procurement functions for IRC’s office in Gambella Field Office. He/ She must be able to rapidly procure Program supplies, services and equipment, whilst ensuring best practices and maintaining audit-compliant records.

DETAIL RESPONSIBILITIES:

  • The implementation and / or maintenance of standard IRC procurement policies and procedures.
  • Ensuring that procurement is carried out in accordance to IRC and donor-specific polices.
  • Establishment and maintenance of ethical, professional working relationships with suppliers.
  • Coordination with Finance, Admin and program departments to ensure integrated internal controls, timely payment of vendors and full, auditable support documentation.
  • Ensuring that a transparent and responsive procurement process is implemented and maintained.
  • To review purchase request is in compliance to unit of measurement, specification, item category and procurement procedures to be followed.
  • Routine communication, coordination and planning with the relevant requesting staff / programs regarding the order and delivery of supplies.
  • Perform all procurement of goods, service with BvA system and generate timely procurement report.
  • Ensuring that all Supplies, services and equipment required are delivered in time.
  • Maintain supplier information for regularly purchased items, and be informed of current local market conditions.

  • Advise the Supply Chain Officer and Manager of procurement-specific issues or improvements.
  • To maintain proper filling system as per IRC filling protocol.
  • Any other duties or tasked delegated by Supply Chain Officer.

Job Requirements

REQUIREMENTS

  • Education: Degree/Diploma in Procurement and supply chain management, Accounting, Business Administration, Commerce or Finance.
  • Experience: 1 years for BA Degree & 3 years for Diploma. NGO experience is plus.

Skill Requirements

  • Good experience of computer skill & Microsoft Office.
  • Good communication skills that function across a diversity of cultures.
  • Ability to multi-task & carry out responsibilities independently with minimal technical support.
  • Good command of spoken and written English, Amharic and local languages.
  • Strong sense of personal integrity and attention to detail.
  • Team spirit and problem-solving abilities.
  • Ability to work under pressure and travel to field sites frequently.

Willingness to work extra hours in emergencies.
