Background

Vétérinaires Sans Frontières Suisse (VSF-Suisse) is a politically and religiously neutral humanitarian organisation with its head office in Berne. VSF-Suisse fights hunger, poverty, destitution and illness for the benefit of those populations who depend on livestock for their livelihood. VSF-Suisse works both in humanitarian aid and in long-term development in seven countries of West and East Africa.

Job responsibilities and key tasks

As the Finance/Admin Assistant, the incumbent will collaborate with the project team in the field and country office staff and provide a comprehensive and effective financial, administrative service to the field office in Yabello. The Finance and Administration Assistant will assist the project office and office team in ensuring that Ethiopia office is provided and well supported in all areas of Finance & administration, contributing to the work efficiency of the organization. She/he will provide technical support and play a leading role in promoting and representing VSF Suisse’s humanitarian programme and principles to key internal and external audiences.

Finance

  • Ensure the availability of adequate petty cash as per the limit stated in the financial guidelines of VSF Suisse;
  • Handle payments and receipts and process according to the established rules and procedures;
  • Prepare payment vouchers and effect payment as approved by the responsible person
  • designated;Make sure that vouchers are checked, verified and approved by FoC;
  • Keep complete and accurate documentation;
  • Travel to field to facilitate and effect payments
  • Ensuring that all payments incurred are adequately supported
  • Follow-up on timely settlement of taxes, liabilities
  • Update the cashbook and submit by tenth of the following months and the reconciled account to country office in Addis Abeba.

Administration

  • Handle in receiving and issuing store goods/items; update stock card
  • Organize the provision of efficient administrative support to staff and teams
  • Be responsible for processing the documents required for legal compliance in Ethiopia
  • Overall responsibility for the central/main filing systems, both paper and electronic

HR duties

  • Maintains time sheets and time schedules of staff attendance sheets.
  • Records and keeps up to date staff telephone and address records.

Other

  • Perform other duties as required

Job Requirements

Person Specification

Essential

  • University degree in accounting with at least 5 years of experience for Diploma holders and 2 years for BA in accounting
  • Experience of cash handling and stock management
  • Extensive experience in administrative activities in a busy office environment, report writing and compiling monthly information
  • Excellent communication skills in both written and oral in Amharic, English, Oromifa
  • Ability to manage filing systems quickly and systematically and willing to travel and live-in remote locations
  • Use of excel, word processing, email is a requirement

Desirable

  • Experience in Non-governmental organizations (NGOs) in Ethiopia is an advantage.
  • Knowledge of Financial and administrative management
