Job Purpose

The executive secretary is responsible to support the senior managers and provide timely, high-quality assistance in all administrative and clerical capacities to top-level executives within the company. 

Duties and Responsibilities:

  • Manage and coordinate daily, weekly, and monthly calendars for senior managers
  • Schedule necessary meetings.
  • Prepare and manage correspondence, reports and documents.
  • Implement and maintain office system.
  • Arrange and confirm appointments.
  • Liaise with internal and external contacts
  • Generate regular reports from departments and update the manager
  • Make and confirm all travel arrangements, if any
  • Manage phone calls and emails with professionalism and proper documentations
  • Respond in a timely manner to all requests

Job Requirements

Basic Qualification and Requirements

  • Diploma or BA in Management, Business management or related fields.
  • Work experience as an executive assistant, administrative assistant or similar role
  • knowledge of office procedures and protocols
  • Knowledge of computer systems, including experience with office management systems, ERPs, and Microsoft Offices
  • Comfortable using all necessary office equipment, including printers and fax machines
  • Excellent communication skills, written and verbal
  • Commitment to confidentiality concerning sensitive company information
  • Excellent organizational skills, a proactive mindset, and the ability to multitask and prioritize work
