 Job Summary

Based in the project’s central office in Addis Ababa, and under the supervision of the Finance and Operations Director, the Program Assistant is responsible for providing administrative and programmatic support to the project’s technical team, and also assisting with administrative management of consultancies/subawards/subgrants and in providing some logistical support for project travel.

Key Roles and Responsibilities

Provide support to implementation planning and other technical exercises by taking notes at brainstorming sessions, producing draft plans, and cross-checking planned activities for consistency and compatibility.

  • Provide production support for project materials, presentations, and reports, including editing and formatting.
  • Contribute to the administrative management of local consultancies, subawards, and/or subgrants by assisting in drafting scopes of work and budgets in consultation with members of the technical team, preparation and processing of consultant agreements, monitoring of consultant labor expended, and processing of consultant invoices.
  • Assists with research tasks by performing literature searches on specified topics, preliminary analyses of data sets, maintenance of data bases, etc.
  • Maintain project files, including personnel files, files of project deliverables, and project reports.
  • Manage and document correspondence with the project headquarters office, Regional Health Bureaus, and other partners and stakeholders.
  • Assist with monitoring the proper reporting of labor time and the timely submission of timesheets.
  • Make logistical arrangements for project events and field activities, including the support for project staff or other visitors coming from outside the region.

Job Requirement

Bachelor’s Degree in Finance, Business Administration, Accounting, or other relevant field.

  • 3 years of relevant professional experience in programmatic and administrative support. Experience in operations and/or logistics is a plus.
  • Experience in editing and formatting technical documents.
  • USAID or other international donor experience is highly desirable.
  • Strong knowledge and experience with Windows, Word, Excel and other data processing and graphical presentation software.
  • Excellent inter-personal communication skills and solid organization skills.
  • Ability to independently plan and multitask.
  • Fluency in Amharic and English language proficiency is required.

Minimum Qualifications: ( 3+ ) years of experience OR the equivalent combination of education and experience.
