Job Summary

Under the general supervision of the CHESAE Income Generating Manager the Administration and Finance Officer is responsible for planning, organizing, directing and coordinating the overall administration and finance functions of the Organization.

SPECIFIC DUTIES AND RESPONSIBILITIES: 

  • Develops and upgrade financial, human resource and material administration manuals and procedures.
  • Plans, organizes, directs and coordinates and controls the administration and finance functions of the Organization.
  • Determines the number of employees and types of skills required to meet the organization objectives in consultation with the manager and unit heads,
  • Manage personnel procedures in relation to recruitment, training, holidays appraisal, legal issues etc..and maintain records.
  • Take part on the development of organizational culture, team building, challenge facing and decision making process.
  • Coordinate procurement process of goods and services,
  • Administer fixed asset registration, movement, repair and inventory,
  • Ensure stock is managed properly including ordering, storing, tracking and controlling inventory.
  • Supervises and administers the general service functions such as purchasing, storekeeping, cleaning, security services and gardening of the Organization.
  • Manage and supervise financial procedures and policies including preparation of budget , financial projection, procurement.
  • Develop and introduce cost accounting and clients payment system of products and services,
  • Ensures that proper records of all financial transactions are maintained.
  • Ensures that the Organization’s legal responsibilities are met, like VAT, lease, insurance and other payments plus renewal of licenses.
  • Ensures that all bank accounts statements are regularly reviewed and reconciled.
  • Manage all external relations regarding admin and finance activities and related issues.
