Job Summary

Purpose:

Managing the activities of travel plan, work permit, residence ID and visa respective of international, local staffs and visitors; effectively monitor the activities of central archives, office service, janitorial and maintenance of buildings, canteen and general store.

Main Areas of Responsibility:

  • Effectively monitor and manage the activities of visa, travel, work permit & residential permission, hotel booking for international staffs and visitors.
  • Effectively manages all travel process such as visa, flight and hotel booking, etc for local staffs who travel abroad/local for business trips.
  • Organizes, directs, coordinates and controls the activities of office services, record management, janitorial services and building maintenance.
  • Work with Engineering to ensures that there is uninterrupted electric power and water supply to offices; follows up the proper functioning of sewerage and waste disposal systems.
  • Takes a leading role in the development of systems for stock classification and coding and production of stock categories. Reviews layout of stores and makes recommendations for improvement in the utilization of store space and in efficiency of store service.
  • Approves requests for supplies from stores or their purchases including PPE, cleaning and stationery materials and periodically reports consumption level to each user departments.
  • Supervises and follows up the timely repair of office equipment, furniture, water and electric systems and renovation of buildings (involving masonry, carpentry, painting, plumbing and related works).
  • Supervises the proper upkeep of cleanliness of offices, corridors, rest rooms (toilets) and surroundings including the gardens.
  • Manages the canteen services.
  • Knowledge of Collective Labor Agreement and Proclamation, Internal Regulations and Safety policies of the Company

 Other:

  • Manage various tasks and projects as they arise and upon manager’s request.

Job Requirements

Education:

  • University degree, Proficient English language skill and MS Office confident user

Work experience:

  • 5 years and above
