Soufflet has started its operation in Ethiopia in 2017 is commissioning its malt factory in Addis Ababa while actively working on local malt barley sourcing.
To support our Agronomy department in all administration and office activities Soufflet Malt Ethiopia is interested to hire Admin Assistant.
Core Mission :
The Administration Assistant will help manage the agronomy administration and logistical details in the Office and particularly through working with Field Executives, the Agronomy Manager and the Procurement Manager. This includes coordinating information and workflow, updating field, sales and procurement data in the company database, updating and following up on delegated tasks to ensure progress of deadlines, keeping projects on schedule, scheduling meetings and maintaining procedures to ensure consistent performance of routine functions.
Hierarchical Relations
Reports to the Head of Agronomy Department and support/ take assignment to the Agronomy Manager and the Procurement Managers
Major Responsibilities :
- Manage and organize office meetings, including support to the Agronomy Manager / Procurement Manager and calendar of events. Prepare the requisite paperwork (agenda etc.), venues, contacting and coordinating participants/participation. Take minutes of meetings as required.
- Manage office activities such as travel logistics, allocation of vehicles, travel advance requests, reimbursements/expense reports, conference registrations
- Manage and maintain files and records of the office, and retrieve documents, records and reports as requested
- Manage the company database regarding sales, procurement and field data collection, update it and send reports on a daily basis. Implement any changes requested by the Managers.
- Ensure smooth follow-up and queries from finance and HR department (payments, contracts, admin etc.)
- Provide and/or ensure that other staff provide background information for meetings; and presentations; compile reference material as needed
- Review incoming mail for the Manager’s attention and re-route to appropriate staff and ensure participation/ engagement in invited events and follow up requests for support.
- Draft and develop routine correspondences for the Barley development and procurement managers and respond on them behalf on routine and administrative issues;
- Coordinate meetings for the Senior Management Team, including agenda preparation and taking minutes and follow up action items. Support communication between the Senior Management and Field Staff to take effective and responsive decisions;
- Review documents and external communication, ensuring correct grammar and syntax and accuracy of information;
- Handle any tasks delegated by the Agronomy and Procurement Managers.
- Assist in preparing summary documents and ensure accurate, high quality information for management/stakeholders/ partners meetings;
- Coordinate and manage visits of high level visitors (and other as requested).
- Support the organization of high-level seminars and meetings
- Perform diverse secretarial duties and administrative functions requiring confidentiality
- Filling of all documents of the agronomy department (contract, letters, reports, etc.
- General clerical duties including photocopying, fax and mailing,
Job Requirements
- BA Degree in Business fields.
Experience and knowledge
- Above 4 Years of experience in FMCG industry or related industry. + 1 year as an executive assistant
- MS Applications Excel ,Word, Publisher
