Role PURPOSE
The primary purpose of the position is to enter correct sponsored children and their families’ data as well as other sponsorship communication items in to ES4/Child Data to update our customers timely. Besides, verifies and corrects entries, maintains records, performs general support duties as assigned. The Data Entry Clerk assumes the responsibilities given under the purpose and undertakes her regular tasks in accordance with a well-defined framework of policies and procedures under immediate supervision. These smooth and real information exchanges between the SC and SP boost Plan’s strategy in fundraising and sponsors trust.
Accountabilities and MAIN WORK ACTIVITIES
Undertaking of Sponsored Child Introduction (SCI) and Sponsored Child Update (SCU) processing received from PA’s Community Workers as per the sponsorship standards.
· SCU / SCI update data entry to CD4.1 daily: a minimum of 50
· Responsible for photo renaming, encoding, uploading
· Responsible to carry out cancellation in system when received from supervisor
· Responsible to carry out enrolment of replacement/sibling in system
· Register the status of absent SCs on CD4.1 and update as appropriate
· Undertake other responsibilities as assigned by supervisor
Enhancement of smooth processing and production of Sponsor/sponsored child communications
· Sort outgoing communication: Scanned and non-scanned
· Dispatch non-scanned to CO/NO
· Responsible to scan and send communications to NOs via email
· Identify mistakes/inconsistency and notify Sponsorship Coordinator
· List and record surveys that need to go back to the field for correction, follow up their return and make correction in the system
· Prepares information/replies referring to SC data to facilitate responses to National Office Inquiries at the office level
· Prepare TODO list as required and distribute to CDFs
Management of all incoming and outgoing Sponsorship Communication items as well as documentation and records
· Identify inappropriate items in the incoming communications
· Register each items/acknowledge communication on CD4.1
· Prepare name tag and attach with the corresponding item/letter
· Enter outgoing sponsorship communications in CD4.1, print transmittal list and attach the list with the letters
· Sort outgoing communication by NOs for dispatching
· Maintain filing of weekly incoming and outgoing communications
Safeguarding Children and Young People (Safeguarding) and Gender Equality and Inclusion (GEI)
· Understand and put into practice the responsibilities under Safeguarding and GEI policies and Plan International’s Code of Conduct (CoC).
· Ensure that Plan International’s global policies for Safeguarding Children and Young People and Gender Equality and Inclusion are fully embedded in day to day work.
· Ensure that Plan Ethiopia contributes to Plan International’s global efforts to ensure safeguarding and GEI, including making sure that relevant reporting and data are submitted.
