Job Summery

Duties and Responsibilities

  • Greet all clients and direct in terms of who to speak to;
  • Record incoming and outsourcing mails and correspondences;
  • Answer phones calls and direct to the appropriate party promptly and efficiently;
  • Screen incoming emails and distribute them to relevant team members for proper action;
  • Handle routine correspondence.
  • File documents according to the filing protocols to assist in document control processes
  • Ensure all office files are managed according to confidential and internal processes
  • Supports admin team with their day-to-day functions and/or responsibilities
  • Process payments and invoices as needed
  • Liaise with company clients, suppliers and producers
  • Receiving various instructions through telephone, e-mails and faxes from the clients
  • Screen & schedule appointments as required
  • Other related tasks as assigned

Requirements

 Academic qualification

  • Diploma or Degree in Office Administration, Business Management or Customer Management 

Additional qualifications

  • Ability to prioritize and organize through excellent organizational skills
  • Ability to work in fast paced environment
  • Strong knowledge of MS Office, including word, Excel, power point and Outlook;
  • Ability to work in team and has excellent communication skill
  • Self-motivated, result-oriented attitude and well-organized work ethic
  • As a first impression for guests, someone who comes across as positive and can provide exceptional sales and receptionist service;
  • Preferably with previous experience in Customer Service industry;

Years of experience: Minimum of 2 years of experience in secretarial service or customer handling
