INTRODUCTION

The Global Alliance for Improved Nutrition (GAIN) was launched at the UN in 2002 to tackle the human suffering caused by malnutrition. GAIN is a global, Swiss-based foundation that mobilizes public-private partnerships and provides financial and technical support to deliver nutritious foods to those people most at risk of malnutrition.

In a Memorandum of Understanding of 27 December 2017, GAIN and WFP agreed, amongst other areas, to collaborate as co-conveners of SBN at the country level and thus support SBN-Ethiopia with building strong partnerships for nutrition. GAIN has facilitated the drafting and launching of the first SBN strategy (2018- 2020) and is now in the process of launching a three year’s strategy (2021-2023).

OBJECTIVES

Under the direct supervision of National SBN Coordinator and overall guidance of GAIN Marketing specialist, the Event Coordinator is responsible to ensure the arrangements, logistical, administrative, preparation in the lead up to the official launching ceremony of the renewed SBN Ethiopia strategy (2021 to 2023) and facilitating the implementation of series of networking events in Addis Ababa.

SCOPE OF THE WORK

The launching of the renewed SBN Ethiopia strategy and subsequent networking events or business drinks are taking place in Addis Ababa. The event Coordinator / firm will be responsible for the following:

 Ensures smooth logistical preparation and execution focusing on achievement of the following results:

  • Provide staffing of event reception/registration desk /all necessary activities
  • Smooth logistical preparation and execution of the event;
  • Prepare, send out, and confirm invitations as per the lists brainstormed with the client;
  • Invite relevant media stations and organize a press conference before the workshop to be reported in news stations.
  • Arrange needed procurements of meeting packages, venue booking, and other supporting materials and stationeries, prepare list of participants, confirmation with invitees prior to the event;
  • Assist the production of meeting proceedings;

To be the person-in-charge in logistics during the forum, including but not limited only to the following tasks:

  • Participants registration
  • Venue and meeting package preparation including meals and lunches
  • Arrange for smooth and uninterrupted sound and lighting system including projector, stage and backdrop for the workshops
  • Video and photography documentation of the event
  • Ensure Press conference and media coverage before and after the event

Any other tasks related to the events activities as delegated by the SBN Coordinator.

DELIVERABLES

  • 1 Launching of SBN strategy event held in March 2021
  • 2 Different networking events held as per the timeline agreed with client.
  • 1 SBN Ethiopia Pitch Competition to be held in June
  • A report at the end with the video and photograph documentation to be provided of the event including newspaper reporting/clippings.

DURATION OF THE SERVICE

The tentative date for launching the renewed strategy is slotted in the last week of March and subsequent networking events will happen between March and June 2021. 

Job Requirements

ASSESSMENT AND SELECTION OF THE PROPOSAL

Both technical and financial proposals must be presented in English. The proposals, technical and financial, will be evaluated with the following criteria:

  • Independent consultant/ Firm’s qualifying with best Technical proposal must scores 70 out of 100 as total score, scores distributed by specific criteria are:
  1. Clarity, comprehensiveness and coherence in presentation of technical proposal .......... 20
  2. Previous experiences of the individual/ organization concerned on the tasks specified ...........30
  3. Quality and credentials of team members .........20  
  4. Logistics capacity for handling such event ........30
  • The financial proposal will be opened only for those individuals/firms scoring 70 or more for the technical proposal. Total scores for the financial proposal is 30 and this will be awarded on the lowest cost basis but with following criteria:
  1. Cost proposal submitted cites specific rates by each major event items listed above with the resources applied by the firm; and
  2. Relevance and consistency with technical proposal.
