Job Summary

Rorank Business S.C. is subsidiary of a UK base company called Castleford Investment Holdings Limited. We manufacture and distribute our flagship brands, Super Eagle and Crystal that are renowned for their great taste and quality. Our new leading edge manufacturing and bottling facility is located in Cha Cha. 

PRIMARY PURPOSE

The General Service and Administration Specialist will coordinate and control the company’s cleaning, security, catering, office maintenance, transport, and ensure that the day to day office operation is running smoothly. He/ She liaise with HR & Finance team at head office

DUTIES AND RESPONSIBILITIES

 General Assistance

  • Supervision of all cleaning staff performance in terms of standards of cleanliness
  • Reviewing work schedules
  • Purchase stationary & cleaning materials.
  • Ensure all security rules and regulations are followed and implemented by security staff
  • Prepare checklist for cleaning, electricity, water, safety service
  • Prepares official correspondences using standard letter reference procedures.
  • Management of Office & compound Cleaning/ Gardening.
  • Ensuring that basic facilities, such as water, electric power…. are well-maintained.
  • Allocating and managing space in office for employees..
  • Ensuring that facilities meet government regulations and environmental, health and security standards
  • Organize and supervise other office activities (recycling, renovations, event planning etc.)
  • Plan, prioritize, assign, supervise, review, and participate in the work of staff responsible for facility maintenance.
  • Ensure to maintain adequate inventories of tools, supplies and parts for accurate repair of the facility
  • Controls and coordinates the company’s transport system
  • Supervises consumables like fuel , report and correct irregularities
  • Manage the office supply store and to ensure timely purchase and Distribution of Office supplies.

General Finance Assistance

  •  Withdraw cash, for petty cash and Fuel fund.
  • Summaries and submit Petty cash and fuel fund expenditures to Senior Accountant for replenishments of funds.
  • Prepare petty cash payments & effect payments and ensure compliance with internal control set out.

 General HR Assistance

  • Support all internal and external HR related inquiries or requests.
  • Support the management of disciplinary and grievance issues Investigate complaints brought forward by employees.
  • Employee queries and complaints dealt with or referred to appropriate responsible person
  • HR Policies and procedures applied and complied with in all dealings with employee matters
  • Responsible for timely release of the office supplies and replenishment.
  • Ensure tea and coffee service to staff are of expected standard and timely, keep and track services provided by coffee attendants.
  • Keep always information of HR department confidential.
  • Approved overtime requests received, adjustments made as required and overtime processed
  • Overtime reports prepared monthly
  • Prepare & compile payroll inputs and overtime information and send report to HR Manager on time.
  • Ensures complete and up-to-date filing of all Human resources documentations (of policies and procedures) as per the agreed filing system at all times;
  • Handles administrative issues related to HR (annual leave, personnel data, labor relations…)
  • HR Policies & Procedures applied and complied with in all dealings with employee matters
  • Employees counselled on policies and procedures
  • Monitor staff attendance and ensure that all staff timesheets are updated.
  • Monitor absence data in line with policy and escalate appropriately
  • Support in processing recruitment requests
  • Assist with organizing resumes and job applications and communicating with interview candidates and scheduling for tests and interviews
  • Other duties as assigned

Job Requirements

EDUCATION:  

  • BA degree in Management, Business Administration or Human Resource Management or related fields.

EXPERIENCE: 

  • 3 years’ experience in Management, Business Administration or Human Resource Management or related
