Job Description

Key accountabilities

  • Assist with day to day operations of the Supply Chain & Admin functions and duties
  • Assist on collection of office supplies appeals and distribution of supplies for departments
  • Assist on Monthly Collection of Light, water and telephone invoice and facilitate for payment
  • Ensure Office and Guesthouse compound is clean enough.
  • Booking hotels and air tickets for internal /external visitors coming to the field office
  • Responsible for refilling Vehicles fuel & maintain necessary documentations.
  • Keep record of Vehicle maintenance and history of each Vehicle files.
  • Supervises the work of cleaner and cookers. 
  • Participate in request of Annual cleaners, Security guard uniform request and distribution.
  • Ensure that the offices are in good working conditions/area.
  • Operates and keep all office equipment in safe manner. This includes follow up Generator maintenance and service schedule, electric, water and telephone maintenances.
  • Follow up Rental house rent payment and request for payment on time`
  • Keep record of all stock and commodity movements and transactions; and maintain all stock related data up to date, and available on request,
  • Keep related dispatch Way Bills and Authorization memos in sequence, and prepare reference indexes, in order to enable quick accessibility to the documents,
  • Keep source documents arriving from procurement officer such as PO, Receipts and GRN in sequence, and maintain scanned copy to assist the procurement officer in updating online procurement trucker.
  • Ensures appropriate electronic and paper filling of all relevant documents to ensure accurate reconciliation and documentation for audit purposes.
  • Assist the warehouse officer in preparation of monthly, quarterly, and annual stock and commodity movement reports as per the requirements of the standard reporting formats
  • Automatically update bin cards and stock cards and work out the balance after each receipt and dispatch/ issuance of items.
  • As required assist the warehouse officer in receiving and dispatching of program items as well as reorganizing of the warehouse stock
  • Ensure all fixed assets passes through the warehouse system are register at the national asset database. This requires close communication with the asset & GIK officer.
  • Assist the warehouse officer in tracking office supplies and stationary materials stock balances and plan for reordering and replenishments.
  • Accomplishes other related tasks and duties that would be assigned by supervisor

Job Requirements

QUALIFICATIONS AND EXPERIENCE

  • Diploma/Bachelor degree in Purchasing and Supply Management or Business Management
  • At least 4 years for diploma/2 years for BA degree holder and working on INGOs is an asset
  • Reasonable level of proficiency to read, write and communicate in English
  • Excellent communication & interpersonal skill 
  • Commitment to and understanding of Save the children’s aims, values and principles
  • A commitment to children’s rights and principles of equal opportunity
  • Commitment to Save the Children values.
  • Computer skills, especially Microsoft Office, Excel, TIM soft ware etc.
