Office Manager

GIZ-Internal/External Vacancy Announcement #071/2021

SURED

  • SLMP, with a technical support from GIZ SLM has been working focusing more on land rehabilitation where substantial positive changes have been registered. Nevertheless, the issue of sustainability of rehabilitated watersheds have become a great concern for both partners and communities.
  • To ensure the sustainability of the rehabilitated watersheds a new approach, protection through production, by GZ SURED in collaboration with MOA is being piloted in selected SLMP Woreda. In accordance with this SURED has been working on four outputs. This is being operated with an intensive technical support by SURED project. The technical support mainly focuses on provision of capacity development measures in the area of strategies, value chains, land use and watershed management in general to partner office for the last two and half years. 
  • So far SURED in collaboration with key partners has exerted unreserved efforts to put into practices the main approaches of the project. In line with this Amhara regional SURED office is intensively working on mainstreaming the concept of Protection through Production into the partner system considering few commodities as a show case.

Contract duration: Until December 31, 2021     

Responsibilities

  • Organizes and coordinates the management team schedule, including arranging necessary travel-logistics (booking of flights, hotels, processing visa-requests)
  • Manages incoming and outgoing correspondence for the Office and management team as well as prioritizes and organizes it.
  • Reminds, updates and notifies the management team of daily appointments/ meetings and provides briefings as necessary.

Tasks

  • Drafts replies and any other letters in the name of the management team.
  • Prepares, organizes and keeps various kinds of information and materials for the Office, management team and/or meetings as requested.
  • Assists in creating and maintaining a filing system for the management team according to GIZ rules and regulations.
  • Organizes and participates in internal and external meetings and workshops to assist the SURED management (i.e. with supporting documentation), including booking of venues.
  • Organizing and coordinating logistical management and set up of meeting rooms when needed by coordinating with the Logistical Officer and ensuring workshop and moderation materials are intact all the time.
  • Follows-up on internal and external meetings and workshops with participants (i.e. disseminating minutes, information, etc.)
  • Filing and overseeing documents such as updating Telephone cascade on monthly basis, documenting letters and, in reference files or in DMS system
  • Treats information confidentially, specifically in the areas of personnel and finance.
  • Performs other duties and tasks at the request of the management team.

Job Requirements

Qualifications and Experience

  • Bachelor's Degree in Secretarial Science or/and Business administration or similar area.
  • Minimum of 5 years professional experience in international organization
  • Good knowledge of GIZ structure or experience in similar international work environment 
  • Excellent knowledge of English and Amharic language, written and spoken.
  • Excellent communication skills, able to adapt to different target groups.
  • Good working knowledge of standard computer applications such as MS Office: outlook, word, excels, PowerPoint.
  • Excellent self-organizational and management skills with a problem-solving and results-oriented attitude.
  • Trustworthiness and ability to maintaining strict confidentiality and observing data protection and associated guidelines where appropriate.
  • Ability to work independently, unsupervised and as part of a multicultural and international team.
  • Ability to work under time pressure and being able to multitask.
  • Stress tolerance and patience.
  • Discipline and punctuality.
  • Willingness to learn and obtain further skills as required by the tasks to be performed corresponding measures is agreed with management.
