Purpose:

Grants and Finance Coordinator reports to the Finance and Admin Manager. The position holder is responsible in ensuring:

  • Interoffice payments and their corresponding records are done and reconciled in a timely manner;
  • Audit works are well facilitated within the time frame agreed;
  • Timely and reliable grants financial analysis that leads to effective decision making by Plan AULO Program and the wider Plan MEESA and WACA teams.

Typical Responsibilities - Key end Results of the Position:

Accurate Financial analysis and reports in Plan AULO compliant to established policies and procedures

  • Timely delivery of all donor financial reports for Plan AULO Program;
  • Review all partners’ reports to ensure proper funds absorption as well as monitor compliance;
  • Finance Planner role on SAP and leads on supporting finance functions on SAP for Plan AULO projects;
  • Review exceptional reports in the SAP and communicates to the responsible budget holder/s for the necessary corrective action/s;
  • Ensuring effective management of the grants resources by overseeing effective budgeting, planning and budget utilization;
  • Support program team in annual budget preparation to ensure the budget are accurate, reasonably and incorporate all costs like apportion cost;
  • Responsible to produce monthly Budget Vs Expenditure report to internal management per donor agreed currency; and Plan Group Currency;
  • The position holder is responsible to monitor the budget utilization per each budget in the agreement and give the timely advice to the program team about the budget status;
  • Conduct field monitoring from the finance perspective and develop the filed compliance visit report submit to the Finance and Administration Manager and the respective program team. Follow up the implementation of action pointes;
  • Supporting the Program Leads to ensure that program resources as utilized for the intended purposes and to ensure that financial reports are accurate, reflecting the reality of transactions incurred at all times;
  • Ensure for each assigned grant the share Cost recovery per WBS were charged periodically;
  • Confirm the outstanding payment, outstanding advance, partner advance, NR (Not related to grant) per the assigned grant were cleared before the grant is closed;
  • The position holder should review the Project Outline (PO) on SAP to ensure approved budget on the Excel sheet Vs up loaded on the system;
  • The position holder is accountable for the assigned grant to insert the awarded budget on SAP system;
  • Any other duties assigned by immediate supervisor.

Ensure Accurate monthly processing of the Payroll compliant to HR policies in place

  • Prepares quarterly severance & holiday provisions: to recognize plan’s commitment to its staff in terms of severance compensation and annual leave entitlements.

Technical support on the day to day business processes to Plan AULO

  • Provides support on financial activities for Plan AULO;
  • Produce confirmation letter for partner cash transfer;
  • Coordinates the harmonization of incomes and expenditures and prepares all financial forecasts;
  • Coordinates all financial audit processes.

Plan AULO Business plan in place in order to support funding plans

  • Supports Plan AULO annual and other budgeting processes;
  • Reviews assigned partners liquidation documents, maintain the overdue balance within the level of acceptable limit and facilitate the subsequent fund release.

Dealing with Problems:

  • Providing support to Plan AULO ensuring a delicate balance on standards is maintained in all processes;
  • Financial Reporting and Analysis;

Job Requirements

Knowledge, Skills, Behaviors, and Experience Required to Achieve Role’s Objectives:

Educational Qualification and Experience

  • Minimum BA degree in Accounting 
  • ACCA certification is desirable.
  • Five years of relevant experience with at least one year at a supervisory position.
  • Knowledge of SAP operations for Finance desirable.

Knowledge

  • Good working knowledge of NGO sector.
  • Good knowledge of accountancy software,
  • Good knowledge of accounting and experience

  • Knowledge of the software applicable to Plan International and other computer applications;
