INTERNAL/EXTERNAL VACANCY

FH Ethiopia is a non-governmental organization engaged in relief and development activities. At FH, we operate under a set of guiding principles we call the “The Heartbeat”. FH Ethiopia would like to invite potential candidates to apply for the following position:

Position: Data Management Officer- JEOP

Required Number:  (1) One

Duty Station: Addis Ababa

Duration of Contract: One year contract

Salary: As per the salary scale of the organization

Closing date: May 30, 2021

PURPOSE OF THE JOB

Responsible to properly organize and manage JEOP transport related files and document that comes from all JEOP program operational areas for review and check up by finance and program staffs, review monthly warehouse reports, prepare quarter QWICR report and liaise with projects on monthly commodity reporting related issues.

ESSENTIAL TASKS AND RESPONSIBILITIES

Key Result #1 –Documentation  

  1. Process all the transport bid document and avail for committee members assigned by the organization and Responsible for JEOP transport agreement and file it properly.
  2. Receive all JEOP payment documents and check against dispatch and receiving note and make ready for check up to JEOP commodity coordinator.
  3. Make sure the transport payment related document copies are properly filed in JEOP program office.
  4. Maintain proper filing of all JEOP related documents (award & sub-award files, MOUs, monthly/quarter/semiannual/annual reports & others) at the head office level.

Key Result #2 – Report and follow up

  1. Make analysis of transport payment against the agreement and provide in both soft and hard copy to JEOP Commodity Coordinator for verification and checkup.
  2. Receive any JEOP commodity related documents and reports from projects for filling and avail as required by JEOP staffs.
  3. Review monthly warehouse commodity report that comes from FDPs and summarize it on excel tracking sheet for consolidation.
  4. Prepare quarter commodity report on QWICR.
  5. Liaise with projects on any issues related with monthly warehouse commodity reports.

SAFETY AND SECURITY RESPONSIBILITIES

  • Each FHE staff member should adhere to all pertinent policies concerning safety and security policy of FH. Lapses in safe conduct can jeopardize the health and welfare of all staff.
  • Every FHE staff member has an obligation to learn and understand the security situation where they are located. 
  • Each FHE staff member should adhere to all pertinent policies concerning safety and security. This includes, but not limited to, personal safety, road safety, etc.
  • He/she has a responsibility to become familiar to social, cultural and other associated features of their duty stations;
  • Abstains from inappropriate or offensive behavior that can put FHE in a difficult position, impair operations, and jeopardize the health and welfare of all staff of FHE.
  • All FHE staff should promotes safe conducts and exercises caution in all work activities; staff should accountable for own personal and professional actions and conduct;

GENDER RESPONSIBILITIES

  • Be aware of the stereotypes about women’s and men’s capacities, and discuss how they influence staff, in assigning responsibility, and in managing resources at unit and organization level.
  • Be able to describe how gender issues relate to one’s job responsibilities and how gender equity can be promoted through the execution of those responsibilities.
  • Be familiar with the local Gender Focal Point(s), and go to her/him to learn more about gender issues, or when there is a gender grievance or harassment issue to resolve
  • Within each project and department, discuss FH’s Gender & Diversity and Sexual Harassment and sexual exploitation Policies, so that all staff are conversant with them.
  • Refrain from any comments or gestures that indicate prejudicial views of female staff, especially female supervisors.
  • In each Project and Head Office, ask women staff what changes would make it more “gender-friendly”, organization and implement the recommendations

Job Requirements

EDUCATION AND EXPERIENCE

  • BA degree in Accounting or relevant field of Study.
  • 3 years related experience in a relevant position Preferably in INGO Setting

OTHER REQUIREMENTS

  • Full agreement with FH’s Christian foundation and beliefs as expressed in The Heartbeat: our Values, Vision, and Purpose.
  • Excellent writing skills in English with proven ability to communicate,
  • Strong Interpersonal skills,
  • Strong computer skill and knowledge in the area of MS word, MS Excel, MS Access, PowerPoint and email communication.
  • High level of initiative taking.

LANGUAGE SKILLS

  • Proficiency in spoken and written English and the country’s local language (s)
