Job Description

The ICT Assistant Officer and Logistics Support will be responsible to provide most needed regular ICT support to all SP HQ and field project staff. The ICT assistant Officer and Logistics support will be responsible in supporting SP operations team in Ethiopia in the areas of procurement, fleet management, ICT, asset registration and administration, and other operational responsibilities.

Job Requirements

Major Duties and Responsibility:

  • Provide timely client level ICT technical support and reporting
  • Respond to help desk service requests and maintain accurate task log
  • Maintain, support and repair technical equipment, including desktops, laptops, printers
  • Install and deploy new equipment, and perform hardware/software upgrades and installations
  • Insure all end user devices have the latest Antivirus and Widows updates installed
  • Maintain computer images on secondary storages and regularly re-image and reconfigure user laptops, desktops, and other end user devices
  • Maintain accurate and timely IT inventory database
  • Managing positive relationships with our technical support providers and vendors
  • Develop and maintain forms and databases that is useful for operations to ease of business

Additional Major Duties and Responsibility:

  • Develop and maintain updated SP Ethiopia procurement, fleet, asset and other documents in a very useful and easy to retrieve way for end users.
  • Design, Develop and maintain database and archive for various project and operational resources; like Agreements, contracts, leases and contacts, and others demanded by users.
  • Provide Logistics and Procurement support to the base operations team as necessary
  • Ensure vendor/supplier contracts and framework agreements for the mission are well tracked, maintained and managed.
  • Ensure regularly vendors data base is updated and maintained as per the SP procurement policy
  • Ensure SP’s asset management system, including management of the premises, is kept up to date and fully functional and logistics records are properly filed and maintained in electronic and hard-copy filing systems.
  • Ensure the regular SP assets and resources movement are well tracked, registered and updated to the system
  • Ensure the disposal of assets, by following applicable donor rules and regulations as well as SP internal policies and procedures.
  • Prepare, check and share relevant plans, records and reports as required (e.g. status reports, inventory lists, etc.)
  • Ensure that procurement and logistics procedures are in place and adhered to at area level.
  • Manage, track and follow up on contracts with vendors/suppliers.
  • Maintain an inventory of all assets in accordance with relevant SP guidance and procedures with regards to asset management.
  • Ensure that Area Office Logistics filing (both electronic and hard-copy) remains up-to-date, well-organized and accessible at all times, in keeping with relevant filing guidelines. 
  • Conduct local market assessments and vendor/supplier mapping exercises and pro-actively liaise with vendors. 
  • Support procurement processes from start to finish in accordance with responsibilities assigned to Logistics staff as per the SP Logistics Handbook. 
  • Manage, track and follow up on contracts with vendors/suppliers.
  • Proven expertise supporting both Windows, Apple, and Android operating systems
  • Proven expertise troubleshooting and managing, supporting devices on both LAN and WLAN networks and Excellent knowledge of Windows 10 and Apple operating systems and software

Qualifications and experience

  • First Degree in computer Science, Information Technology or related field from recognized institution and with relevant experience and training preferred.
  • 2 to 3 years of practical experience in relation to the field of study. At least 2 years’ experience in areas such as Software Development, Network Management and System Administration or a similar role and have proficient and demonstrated ability to perform the above tasks.
  • Skilled in using computer software for developing user friendly data base, formats, presentations, donor and government reports
