Job Description

Job Purpose Summary:

Under the direct supervision of the project officer. The finance & Admin assistant will be responsible for the timely completion of finance and administration support services in a range of Finance and Administrative areas encompassing general administration and finance support, travel and logistics and other operational areas. S/he shall evaluate and follow up on service provision to ensure best delivery in compliance with applicable standards; as well as ensure strategic and efficient management of project financial resources within the Donor expectations and IMC requirements.

Description of Duties

Finance

  • Primary responsible for the checking and reviewing of the payments of the field office.
  • Handle field office advance, effect payment for training, workshops, fuel and other related activities.
  • Work closely with the Head office Finance officer to ensure smooth operation and compliance with organization’s finance standards and deadlines.
  • Maintaining accounting records, monthly report preparation, and ensuring the completeness of the report.
  • Sending all financial documents to head office in a weekly, bi-weekly and monthly basis.
  • Handle income tax and pension settlement to the government and document all necessary supporting documents.
  • Responsible in preparing and reviewing all the supporting documents for the finance transactions to ensure full compliance with internal audit and company requirements,
  • Processing payment and reporting in a daily basis.
  • Any other duties that may be deemed appropriate for this role

Administration, Logistics and Human resources

  • Submit and follow up reimbursement of employee’s medical claim to HR & Admin department in Addis Ababa.
  • Collect signed timesheet from staff and send to Head office HR department.
  • Facilitate any training and workshop related activities to support program team.
  • Follow up with field office program team on the mandatory training competition

Job Requirements

Knowledge and Experience:

  • Bachelor Degree in Business Management/Accounting with 4 years’ work experience in financial management and/or accounting.
  • Active knowledge of English language writing and speaking
  • Proficiency in Accounting software, MS Excel and MS Word as well as good grasp on Internet and email communication.
  • Ability to work independently and under tight deadlines.
