INTERNAL/EXTERNAL VACANCY ANNOUNCEMEN

 Job Summary

The purpose of the General Supplies Assistant position is to receive, store, record, and keep commodities safely, and issue materials against document. S/he makes sure that bin cards, shelves racks are used appropriately. Files and keeps all documents of the store.

Responsibilities

Job Responsibility #1: Recording, documentation, and reporting (35%)

  • Maintain perpetual recording of inventory items using country office’s automated property management system.
  • Maintain filling for all supporting documents for inventory management system (purchase requisitions, purchase orders, sales order forms, donation certificates, and suppliers packing lists or delivery orders.
  • Prepare quarterly and annual stock movement status report.
  • Give identification labels to shelves or racks. Sort out all goods received by types and according to their classifications, and stores them, allocating available space of the store economically and diligently, reduces holding goods and minimizes material damage.
  • Provide monthly status report of items in value and quantity.
  • Physically count and prepare quarterly stock report and submit reports with explanation for any discrepancies.
  • Take annual inventory of all reusable and non-reusable inventory items.
  • Prepare inventory and other reports, and notify the Logistics admin coordinator when inventory balances fall below the defined minimum stock levels.
  • Enter GRN information into the computerized accounting system (People Soft)
  • Document confirmation from both HO and FOs for goods received and services rendered.         

Job Responsibility #2: Receiving and storing supplies (30%)

  • Initiates purchase requests for items not available in the store.
  • Receive, record, store, keep safely all items purchased, consigned and returned, transferred from FOs, from expatriate homes and acknowledge receipt through completion of goods receiving notes (GRN).
  • Check goods against purchase orders, suppliers’ invoices and or packing lists, and ensure goods are in good condition before receiving them.
  • Report missing, damaged, broken or spoiled items to supervisor and document through the relevant goods receiving note.
  • Ensure that items are kept in the store properly and that respective documentation such as stock and bin cards are maintained.
  • Design appropriate storage arrangements for efficient utilization of the available space, and to allow easy movement of people in the store.     
  • Establish the maximum and minimum stock levels for each item as required.

Job Responsibility #3: Issuing supplies (30%)

  • Issue fixed assets, materials and supplies to requisitioning departments/units in the organization upon receipt of duly signed store material requisition.
  • Arrange transport of materials to Field Offices in collaboration with the Field Offices themselves and the Procurement Officer.
  • Follow up with field offices on status of dispatched items; confirm receipt of items made through Way Bills through GRN.
  • Maintain a file for all materials issued.

Job Responsibility #4: Others (5%)

  • Gives advice to the BSM on disposal mechanism of obsolete and idle items in stock and also perform other duties as assigned
  • Perform other duties as assigned

Job Requirements

Required:

  • College Diploma in Supplies management or Accounting
  • 3 – 5 years of experience as supplies officer
