Job Description

Duties & Responsibilities - Programmatic

  • Manage all Lighthouses (transition Shelters) programs and provide managerial, operational and technical assistance for Lighthouse Project Managers
  • Support planning and coordination of rescue and restore (Lighthouse) program and its activities
  •  Manage communications through media relations, social media, UK Comms team etc.
  • Schedule and organize meetings/events and maintain agenda
  •  Support program activities are of the highest quality and compliant with Hope for Justice’ Standard Operating Procedures
  • Support the Country Programs Director in the strategic development and program management of Hope for Justice Ethiopia
  • Working in close collaboration with the grant management team, representing programs with MEL and Finance.
  • Coordinating all activities for the WeD/NORAD Combatting Modern Slavery Grant (CMS), ensuring that activities are implemented in  accordance with targets and that reports are submitted.
  •  Ensure child participation in all aspects of the program and create ways to get feed-back from the children and carers that informs all aspects of program planning and implementation
  • Manage capacity building and technical assistance activities for staff, partners and stakeholders by organizing trainings
  • Conduct quality assessment and quality check of the lighthouse
  • Conduct rapid assessments and service mapping to identify gaps in service provision to guide the development of new projects and contribute to proposals for grants
  • Support the development of proposals, tools and best practices to assist quality implementations across the organization and maintain proper documentation.
  • Organize regular team meetings, conference calls, and videoconferences, often over different time zones, including the preparation and distribution of documents and providing the necessary technical devices including information sharing and     developing agendas and maintain minutes for partner dialogues and roundtables.
  •  Assist in timely submission of reports for donors and government.
  • Maintain proper documentation of the programs and project documents and reports and keep updated records of proposals
  •  Assists in preparing and formatting documents, including PowerPoint presentations;
  • Plans and facilitates printed & digital communication including HFJ web site, social media, Country Office web-based knowledge management system
  • Travel for site visits to assist in field office work efforts, complete general evaluations of program progress, collect program information, participate in coaching and quality check activities
  • Design and develop high quality flyers, publications, infographics, banners, roll ups and other graphic design products to support the organization’s social, academic, research and policy dialogues activities.
  • Supporting the Country Programs Director by assuming responsibility for coordinating effectively and efficiently the implementation of program activities
  •  Establish and manage mechanisms for exchange of information, experience and lessons learned at the local and national levels
  • Manage grant closeout process, including donor reports, compliance, and audit
  • Coordinate recruitment and manage on boarding of new program staff members as needed
  • Proactively work with the Grant Management Team and contribute in the development of grant documents and processes
  •  Performs other related duties in accordance with instructions from Country Programs Director.

Duties & Responsibilities - Administrative:

  • Conduct one to one supervision with Lighthouse Managers
  • Represent prograes in the middle management Grant Management Team compiling reports on a monthly basis.
  • Oversee and supervise lighthouses Detailed Implementation Plans (annual targets)
  • Prepare project proposals and annual plan for the Government in collaboration with COUNTRY PROGRAMMES DIRECTOR
  •  Prepare first draft of reports for government agencies and donors.
  •  Support & facilitate the COUNTRY PROGRAMMES DIRECTOR program activities
  •  Facilitate mid-term and terminal evaluations and new project agreements as required.
  • Collect Friday bullets from all programs each week for submission to Country Programs Director.
  • Assists in preparing and formatting documents, including PowerPoint presentations.
  • Liaises with Head Quarter staff as required, and provides assistance to HQ staff when visiting CO

  • Maintain policies, procedures and systems that provide the requisite safeguarding measures for children accessing our services in collaboration with the Country DSO.

  • Represent the organization in different review meeting, workshop and networks.
  •  Undertake any other duties, as appropriate to the post, as delegated by the Country Programs Director

  •  At least 5 years’ experience working in a senior position and 2 years on transition shelter management and experience working with vulnerable children and families
  • Strong and proven management and leadership skills with a track record of success in building effective teams and leading and motivating a diverse professional staff.
  • Successful experience in strategic networking and partnership building with a varied range of partners, including government partners and donors.
  • Experience with capacity development, organizational development and strategies
  • Experience in Project Cycle Management, Project Proposal and Grant Application writing.
