Job Description

The position holder will be responsible to the key role of clerical and administrative support to the program area in order to ensure that services are provided in an effective and efficient manner. He/She will be responsible to arrange and facilitate travels, meetings and trainings. Manages information and communication of the PA effectively and efficiently by ensuring appropriate documentation and recording of minutes.

Accountabilities and MAIN WORK ACTIVITIES

  • Provide secretarial service: process letters and memorandums and keep files for all outgoing and incoming correspondence
  • Forwards, information by receiving and distributing communications, collecting and mailing correspondence and copying information.
  • Inspect office equipment (fax, LCD, scanner, photocopy machine and printer) under custody by performing routine maintenance and completing preventive maintenance, calling for repairs and monitoring equipment operation.
  • Serve visitors and gusts answering questions, forwarding messages, confirming gusts orders for accommodation and keeping gusts informed the status
  • Supervise and mange office attendants
  • Assist staff with administrative duties as requested
  • Maintain office filling and storage system
  • Organize travel arrangement depending on needs
  • Maintaining cash and petty cash funds
  • Monitor and maintain office supplies
  • Record and maintain minutes of staff meetings, management meetings, and other general meetings are required to expected standard
  • Responsible to facilitate trainings, workshops and conferences.
  • Support the HR activities
  • And perform other duties as recommended by the supervisor 

Job Requirements

Qualifications/ experience essential:

  • Minimum of College Diploma in Business management, Secretarial science or related fields and experience of minimum of 2 years
  • Experience in office administration

Qualification desirable

  • Knowledge and experience of relevant software applications-spreadsheets, word processing and database management
  • Knowledge of administrative and clerical procedures
  • Understanding of relevant policies and procedures of the organization policies and procedures
  • Understanding of the organization culture and working environment
  • Perform multiple non-technical tasks with a potential need to upgrade skills in order to meet changing job conditions.
