Summary of nature of work

This is an advanced secretarial work combining the duties of office administration and professional assistance to the Chief Executive Officer of ARIFPAY.

Under the general supervision, employee of this class serves as secretary to the Chief Executive Officer (CEO) and acts as his intermediary with accomplishment of important delegated administrative details. Responsibility for the various public contacts is also an important element of the work. Important aspects of her duties involve the extraction of essential facts from a mass of information and assisting the executive of the Company in channeling management decisions for necessary action. Work is performed in accordance with established policies and procedures, but great care and attention must be paid to specific instructions on exceptional cases. Work is evaluated through continuous review of the quality and complexity of the secretarial service rendered in accordance with established policies, procedures, and generally accepted standards. 

Detailed Duties

  • Acts as a secretary of the CEO maintains control over incoming and outgoing correspondence, reviews correspondence prepared for the CEO’s signature, sort  e-mail messages coming through the general E –mail account and website, regulates smooth flow of information between the office of the CEO and other organizational units.
  • Takes and write oral dictation; write routine or otherwise letters and correspondences and prepare for the CEO’s signature.
  • Arranges and assembles materials for staff meetings, receives and refers visitors to appropriate executives; clarifies business enquiries whenever possible, and reminds appointments and organizing materials and /or information on subjects under consideration.
  • Reminds the CEO on appointment he has with external party, meeting to attend and/or visitor to come to his office. 
  • Answers and screens telephone calls to the CEO, receives messages and refers callers to the CEO or other appropriate executive.
  • Transmits messages, instructions, etc., from CEO to work units; proof reads letters drafted by the CEO before the signature of her supervisor.
  • Establish tracking system to alert the CEO on major outstanding issues in the pipeline.
  • Actively participate in event organization and networking activities.
  • Operates computers, photocopiers, scanners, fax machine, and related office equipment without any difficulty. 
  • Performs such other duties as may be required by the CEO.

Knowledge, ability, and skills:

  • Thorough knowledge of business correspondence, report writing, and record management (both electronic and hard documents), with good command of Amharic and English languages.
  • Excellent skill in typing Amharic & English
  • Ability to establish and maintain effective working relationships with other employees and business clients.
  • Thorough knowledge of the principles of office management, practices, procedures, and equipment.
  • Considerable knowledge of ARIFPAY’s objectives, standing policies, rules regulations and systems of operations.
  • Abilities to take notes and write dictation rapidly and accurately, and prepare business letters, memos, and reports etc.
  • Computer literate, with good knowledge of using different software programs, i.e., Words, Excel, power point etc.
  • Abilities to maintain good judgment, courtesy and tact in receiving visitors, and providing and obtaining accurate information. 
  • Excellent attention to detail.
  • Ability to supervise subordinates if any.

Education, training, and experience:

  • BA degree in Business related fields or Secretarial Science with a minimum of two years’ experience and a maximum of four years’ experience in general offices or secretarial work or an equivalent combination of training and experience.
