In our over 16 years operation in Ethiopia, has focused on projects in five main areas of interest: Education and Social protection, Environment, Livelihood and Agriculture, Water, sanitation and Hygiene (WASH) and Emergency programs.

PIN currently invites applicants for the position of: Logistic Assistant (Maternity Cover) for Logistic Unit

Length of Contract: Definite (For 5 Months)

Requred:1(One)

Duties and Responsibilities of Logistic Assistant

Logistics Support 

  • Efficiently dealing with queries in internal services and logistics in accordance with PIN requirements
  • Performing logistics and admin tasks in compliance with PIN’s Processes and Rules.
  • Advises and supports Project and other technical staff in questions relating to facilities and logistics, internal services
  • Coordinates arrivals and departures of visitors, arranges accommodation, means of communication, transportation, and other related tasks
  • Supports visa and work permit procedures of international staff in coordination with Logistics Coordinator and HQ
  • Supervision of cleaner, cook and guards
  • Manages renewal and claims concerning all kinds of a local insurance and vehicle annual technical inspection
  •  Responsible for monitoring and facilitating water tracking as per guideline 

Security

  • Responsible for in the management including refilling of fire extinguish and first aid kits for the office, vehicles and guesthouses in each office
  • Contribute area related information for revising of security related guidelines (Medical plan, SOP, RAM) for the country program and actively participate the adherence to security guidelines
  • Monitor and proper use of communication channels including GPS and Thuraya 
  • Active gathering of all relevant information, follow-up on security issues, trends and risks in the country in general

Offices and Guest House

  • Maintenance-overall maintenance, repairs and improvement of offices and guesthouse
  • Working as an Admin, liaison and translator office, (related with expat visa residence and work permit)
  • Responsible for management Addis Ababa office and GH lease agreements, facilitate termination and handover
  • Security and cleanliness- supervision of guards and cleaners and their duties
  • Back-up power supply-supervision of generator and its operation including management of log sheet
  • Control attendance sheet and annual leave
  • Preparing Guard’s over time

Asset management

  • Ensure all staff sign liability of Asset for high and low value of fixed asset
  • Conduct regular inventory in Addis Ababa office
  • Comply with PIN’s and Charites and Sociality Agency asset management and discard procedure
  • Make sure all offices fixed assets are tagged, and recorded

Additional Tasks:

  • Collaborate with other departments
  • Be flexible and be able to give assistance with different activities not included in this primary job description.  

Job Requirements

  • Minimum Diploma in Finance, Supply Chain, Administration and other relevant and related fields of studies
  • Minimum Three (3) years relevant work experience with administrative and logistics tasks
  • Previous working experience in the INGO environment is advantageous
  • Ability to work in teams and stressful environments and under pressure of meeting deadlines
  • Computer friendly (Word, excel, power point, outlook etc.)
  • Excellent knowledge of spoken & written Amharic and English, and knowledge on local language is advantageous 
  • 3 strong references (will be crosschecked/contacted)
