MAIN DUTIES AND TASKS

Position Summary: To make sure that patients have got everything they need and assist patients, answer phones, hand file records and make sure the work is running smoothly. And are responsible for giving patients information on the hospital service, checking appointments and communicate patients accordingly.   

Duties and Responsibilities: This job description is intended to provide an overview, and is not all-inclusive. The job description may be changed as deemed appropriate by Addis Cardiac Hospital.

Ensures:

  • Patient confidentiality is maintained.
  • Clients in the reception are communicated in a timely manner
  •  Have positive attitude towards the profession
  • All necessary care is provided to the patient.
  • Any changes in physician schedule is communicated ahead to patients
  • Phone calls are responded within one ring

Job Requirement

  • Answering phone calls inquiries from patients or enquiring members of the public.
  • Setting patient appointments and recording details of relevant appointment.
  • Welcomes by greeting patients politely with respectful manner and answering or referring inquiries.
  • Record the patients’ full information in the patient chart/ electronics record correctly.
  • Optimizes patients' satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone.
  • Keeps patient appointments on schedule by notifying medical provider of patient's arrival; reviewing service delivery compared to schedule; reminding provider of service delays.
  • Comforts patients by anticipating patients' anxieties; answering patients' questions.
  • Tracking inventory of reception supplies and ordering additional items when necessary.
  • Helps patients in distress by immediate responding to emergencies.
  • Protects patients' rights by maintaining confidentiality of personal and financial information.
  • Maintains operations by following policies and procedures; reporting needed changes.
  • Contributes to team effort by accomplishing related results as needed.
  • Maintaining Cleanliness and presentable condition of reception area.

Reporting To:         Administration and HR

Duty Station:          Addis Cardiac Hospital 

Working Condition The working condition will be working hour from 8:00AM-5:00PM.

Job Requirements

Required Knowledge

  • Minimum requirement, Level IV in hotel reception OR Diploma in related field from an approved training institution
  • Minimum of two years’ experience in hospital reception is preferable.
  • Have good communication skill.
  • Certificate in computer skill is preferable.
  • Have good observation skill, attention to the detail.
  • Have Good Customer Service skill
  • Have Good Time Management skill
  • Have Good Knowledge in Scheduling
  • Have Good Telephone skill
