Job Description

Purpose of the job

Ensure all employee data is properly handled from the hiring stage throughout the employment validity period by maintaining proper documentation. Provide different supporting letters to employees upon request. Ensure leave of employees is utilized properly as per the plan.

Key Responsibilities

Pre-Employment

  • Follow up the posting and shortlisting of vacancies on employment agency website and postings on other internal and external media.
  • Screen shortlisted candidates’ resumes and report based on the basic recruitment criteria before it is sent to the hiring department and the Human Resource Business Partners (HRBPs)
  • Contact candidates for written exam, online test and interview as per the given plan and provide results for hiring manager, or Human Resource Business Partners (HRBPs)
  • Conduct interviews as briefed by line manager
  • Follow up the candidate reference check with their previous employer and make it part of the hiring decision

 Post- Employment

  • Share details of new hires and give all the necessary documents for Compensation and Benefits team for payroll
  • Responsible to make sure the data quality of MyHR is up to date

On Boarding

  • Ensure new employees when joining the Company fill all the necessary forms
  • Provide employee ID and coordinate with IT for the necessary work tools
  • Assign buddy and introduce the new employee to all staff personally
  • Make sure employees are properly informed of all relevant information during onboarding
  • Engage in the development and advancement of orientation and on-boarding tools and processes to enhance the employee experience

 Employee services 

  • Provide support letters to employees request for different purposes
  • Ensure all employees’ annual leaves are properly planned and are taken as planned before the budget year

HR Policy

  • Develop policies, rules and procedures in accordance with the labour law of Ethiopia and implement when approved.
  • Implement and execute policies and procedures
  • Ensure employees are aware about the HR Policy and they follow the policy in different HR activities

Leave Management

  • Ensure leave days of employees are properly recorded and updated on MyHR
  • Ensure leave utilization is per the plan and policy
  • Provide monthly leave utilization report to the Recruitment and Employee Services Manger

 Reports

  • Maintain updated employee leave data and report monthly for Compensation and Benefit Department and line manager
  • Prepare biweekly report of New Hires, Leavers (Termination, Resignation) for IT and Security Departments

Documentation

  • Properly collect all required documents from the Recruitment & Employee service Manager and create personnel file for new employees 
  • Handle pension related documentation for new employees and facilitate the process with the responsible government agency until the Pension card is given to the employee

 Handle other tasks assigned by line manager

Job Requirements

Education

  • BA degree in business related fields 

Experience

  • A minimum of two year experience in HR role
