General Information 

Duty station: Addis Ababa, Ethiopia

Job Title: Admin Assistant

Reports to: Head of Finance

Contract Period: Two year with possibility of extension

 Job description

  •  Checking the proper filing of the documents
  • Preparing the documents for scanning including preparation of the copies as needed
  • Receipts (cash register) must be copied and glued next to the copy.
  • Any document less than the size of A4 paper should be glued to A4 paper
  • Stapled documents should be unstapled for scanning purpose
  • Receipts and all attachments must be stamped with ‘’paid by GAA’’ stamp
  • In the front page of every payment document a voucher stamp must be placed and all the necessary information should be written in the stamp
  • FundsPro voucher with a barcode should be printed and attached as a first page of each payment documents
  • Scanning the documents as per the required procedure and properly filing
  • Checking the scanned documents - quality and chronological order
  • Uploading the scanned documents into the system
  • Labelling files and other finance documents
  • Supporting the finance team in other accounting issues:
  • Preparing voucher list for reports
  • Uploading the financial reports into the system
  • Undertaking assistance cashier task (replacing during leave time)
  • Handling the petty cash of the projects
  • Preparing cheque payments/transfers
  • Store keeping task for the Country Office
  • Any other tasks assigned by Finance Department

Job Requirements

  • Diploma in Accounting or other related fields
  • 3 years of work experience preferably NGO
  • Familiar with Microsoft application – Excel, word, PowerPoint
