The HR Coordinator provides a professional, confidential, administrative, and advisory HR support to the Regional Office. He/She will be responsible for full recruitment? life cycle across all functions.
Key Roles and Responsibilities:
- Recruitment On-boarding and Induction
- Develop position descriptions for new positions upon request from Directors
- Prepare Annual Staff Recruitment Plan, and prepare recruitment request formats
- Facilitate vacancy announcements using appropriate means of advertisement
- Receive and screen applications, and work with recruiting committee on short listing of competent candidates
- Schedule interviews for shortlisted applicants and facilitate the selection process
- Assist in recruitment decisions and interview candidates as required.
- Take minutes and provide written report of the recruitment process (repetition already stated above whom this person is reporting to).
- Produce employment offer letters, contracts, and welcoming packets (or employee orientation)
- Maintain HR Recruitment records
- Execute on-boarding and Induction process? for new hires
- Keep track of employee annual leave and calculate (PTO) Paid time off, keep record for severance pay, pension, medical, …etc
HR Administration
- Work with project managers to ensure monthly payroll changes are prepared accurately and comprehensively, within the agreed time frame, for the Accountant
- Continuously monitor employment terms to ensure Directors and staff are informed of of an expired or soon to expire fixed term contracts and any other contractual changes across all projects
- Track probation review and annual performance appraisal deadlines, and liaise with Directors to ensure timely completion and documentation.
- Prepare Annual staff performance plan and facilitate the performance evaluation process
- Ensure all levels and changes to staff contracts are processed in line with the relevant HR checklist
- Provide annual HR Report
- Develop staff code of conduct and submit for approval
- Act as point of contact for general internal and external HR queries, including clearance, work experience letters, , reference requests, …etc
- Facilitate and document all staff leave requests as per the HR Manual
- Take minutes for HR meetings and when required ensure the completionand circulated in a timely manner.
- Maintain both hard and digital copies of employees records.
- Facilitate staff insurance requests and follow up on any insurance issues
Staff Capacity Building
- Work with Directors and plan for internal staff capacity building
- Facilitate staff trainings
- Document training certificates from staff
Other Roles
- Support Digital Global One Health Summer institute
- Coordinate trainings, workshops, conference, panel discussions, .. etc
- Perform other tasks given by the Regional Directors
Employment type – Full time with one-year contract and a possibility of annual renewal based on a successful performance and availability of funds
Place of Work: Addis Ababa, Ethiopia, with occasional travel to regions as required

Job Requirements
Education and Work Experience
- Bachelors degree in Human Resources Management, Personnel management, Management, Business management, or related fields
- At least 4 to 6 years of experience as an HR coordinator
- Experience working well under pressure and meets tight deadlines
- Effective HR administration and people management skills
- Full understanding of HR functions and best practices
- Excellent written and verbal communication skills
- Highly computer literate with capability in email, MS Office and related business and communication tools.
- Excellent organizational and time management skills
- Strong decision-making and problem-solving skills
- Meticulous attention to details
- Exposure to Ethiopian Labor Law and employment equity regulations
