Job Description

General Responsibilities

Under the supervision of the CEO, the Executive Assistant provides assistance to high-level executives within a company and is often trusted with complex duties and sensitive information. In addition to general administrative work, Executive Assistant may be in charge of scheduling meetings, taking minutes during sessions, maintaining databases and producing reports or presentations for their executive leadership.

 Duties and Responsibilities

  •  Ensure the smooth-running of the office, working both on a one-to-one basis with the executives, but also on a wider basis with internal and external clients.
  • Acting as the point of contact between the executives and internal or external colleagues
  • Organizing meetings and booking meeting rooms
  • Handling correspondence directed to the CEO
  • Making travel arrangements and detailed travel itineraries
  • Taking dictation and minutes and writing them up subsequently
  • Producing reports and presentations
  • Maintaining the current filing and database system, and looking for ways to improve current systems.
  • Writes error-free, eloquent emails and letters for various events and announcements. 
  • Updates and maintains phone lists for CEO.
  • Maintains confidentiality and uses a high degree of discretion.
  • Works in a professional and focused manner to schedule internal and external meetings.
  • Prepares for meetings including ordering lunch, booking conference rooms, setting up video conferencing units.
  • Takes notes and distributes meeting minutes, agendas and meeting packages.
  • Maintains physical and electronic office filing systems for CEO.
  • Respectfully takes direction from CEO.
  • Other duties as assigned.

Job Requirements

Required qualifications, competences and experience

Qualifications

  • Minimum of BA Degree in Business administration, Communications, Secretarial Science and Office Management or related

 Professional experience

  • at least 4 years professional experience in a similar position

Other knowledge, additional competences

  • Experience in administration management.
  • Experience and knowledge in computer applications (Microsoft Office, Microsoft excel, e-mail communication, internal outlook, and internet browsing, etc.), social media and other IT systems
  • Excellent English language skills, written and oral
  • High degree of efficiency, team-working, integrity and accountability 
  • Ability to work under pressure
  • Proactive, energetic personality, team playing and communicating skills
  • Ability to multitask and prioritize tasks
  • Excellent time management skills
  • Developed organizational skills
  • Attention to detail
