Job Description

Job summary: The open position is to handle the hospitality and office management of the company, including telephone operator services. Receptionist is also expected to perform office support related services. Reporting to the HR Manager/CFO; the Receptionist is expected to and adhere to systems, policies and procedures of all support service activities.

MAIN DUTIES AND RESPONSIBILITIES

  • Greets clients and visitors with a positive and helpful attitude.
  • Assists Moyee Guests in finding their way around the office.
  • Maintains workplace security by issuing, checking, and collecting badges from guests
  • Provides required information to the General Public and Moyee Clients
  • Reserves appointments for internal/external affairs in consultation with the concerned units.
  • Performs administrative tasks including copying, scanning and sending documents.
  • Performs business travel itinerary, visa, work/residence permits.
  • Organizes meeting and training rooms.
  • Operates the Company PBX/Direct telephone call services
  • Keeps the confidentiality of the Company information
  • Handles fleet management of the Company vehicles/motorbike
  • Requests fuel refill against the fuel coupon balance
  • Processes requests, stores and distribute stationary and cleaning materials
  • Performs secretarial support services including email communication
  • Keeps both the Company Hardcopy/Softcopy documents in a safe place
  • Safeguards the Company working properties
  • Submits activity reports to the supervisor
  • Performs other duties assigned by the immediate supervisor

Job Requirements

  • Good communication and interpersonal relationship skills both in written and verbal.
  • Advanced Diploma in related field (Diploma in Secretarial Services is a plus).
  • A minimum of 3 years’ experience in a similar role.
  • Strong experience in office management
  • An experience in customer handling and hospitality
  • Knowledge of basic computer skills
