Job Description

Abeba Giday Business Group (Abeba Giday Trading House, Abeba Transport, Addis Spare Parts, and Bazen Agricultural and Industrial PLC…) are looking for the following vacancies.

The main purpose of job

To coordinate all arrangements for meetings of the company management to ensure that they are properly organized and conducted, and to implement all necessary policies and procedures to ensure that the company complies with the memorandum, Articles, and its statutory obligations.

Main responsibilities

  • Coordinate all arrangements for meetings of the management and management committees to ensure that they are properly organized and conducted and that minutes are accurately recorded and circulated.
  • Advise the management and management committees on all statutory and constitutional requirements to ensure that business is conducted properly and effectively.
  • Circulate decisions of the management and committees to all relevant parties and take any necessary follow-up action to record progress on these
  • Keep management and committee members informed of all issues relevant to them and provide any necessary training and induction to ensure that they are aware of their responsibilities and the procedure.
  • Prepare any returns and records required by statute to ensure that the organization conducts its business in a legal and proper manner
  • Organize the annual report of the organization following legal and constitutional requirements
  • Take all necessary steps to ensure that the company complies with data protection legislation.
  • Provide full secretarial and administrative support service to the GM
  • Maintain the diary and arrange appointments as necessary
  • Type reports and routine correspondence from dictation or written sources
  • Screen and respond to all incoming telephone calls and take action as appropriate
  • Draft routine correspondence for approval and signature by the GM
  • Maintain the GM office filing system and all high-level company records
  • Make all travel arrangements for the GM
  • Make arrangements for any meetings required by the Management
  • Operate standard office equipment such as word processor, photocopier …etc.

Job Requirements

Knowledge, skills, and experience required

  • At least a certificate in secretarial science, business management, business economics, and other relevant disciplines and/or a qualified company secretary
  • At least 10 years experience as a company secretary (knowledge of business and business-based laws is a privilege)
  • Excellent communication skills (English fluency is a privilege)
  • Good knowledge and skill of the organization and documentation
  • Excellent organizational and time management skills
  • Good interpersonal skills
