Internal / External Vacancy of South Area Program Support Officer
Duty Station: Hawassa
ROLE PURPOSE:
To assist the Area Manager for East and the Area team by providing Programmatic, Award, Finance & administrative Support.
JOB SPECIFIC ROLES AND RESPONSIBILITIES
- Coordinate awards for projects implemented in South Area Field offices and operations, compile reports and submit to respective technical specialists.
- Follow up monthly budgets utilisation Awards implemented in the area and update the AM.
- Represent the Area in internal functional coordination meetings as appropriate
- Track and oversee purchase of supplies for projects and facilitate their transportation to field operation sites. Tracks Country Office level procurements.
- Follow up of project related payments as assigned by the AM and ensuring document fulfilment.
- Offering administrative support to project managers and FOMs in the Area office to facilitate the day to day work routine, scheduling and organizing meetings.
- Liaison with relevant budget holders and departments of the CO in following up and expediting the execution of program and operation related activities of the area and its field offices
- Quarterly Technical Experts support request follow up with the FOMs, compilation of field requests and follow up field technical support provisions.
- Quarterly Government reports follow up with the FOMs and project agreements/MOUs sign off follow up
- Country office Procurements requests & performance follow up
- Maintains, tracks and updates the AM regarding the monthly deliverables of Field Office Managers and other key staff of the hub as per the monthly task calendar of the Area
- Gather relevant program implementation/operations information pertaining to the Area and its field offices including AO and FO one pagers, telephone trees, maps etc
- Synthesises, compiles and presents project operations information using SMART tools such as dashboards, regularly updated maps of the field office operations etc.
- Compile high-quality monthly reports and updates based on reports of field office managers and other functions of the Area
- Ensures that minutes of important meetings such as Area and FO SMT are timely received, documented and actions are tracked and the AM is kept updated
- Organises Area level meetings and takes minutes
- Ensures that relevant information, reports, minutes and publications are distributed within the hub
- Develops and maintains an information management and communication system and processes to ensure plans and progress are captured, shared and stored effectively
- Travels to the field as required to provide support on specific program operation area as requested
- Follows up on any South Area programme operations related issues at the request of the AM.
- Coordinates with FoMs and Area Office Support function managers to track and manage management concerns, HR, supply chain and finance related concerns including cross cutting issues like risk management, fraud, legal cases and safeguarding
- Undertake any other task as assigned by the AM
MINIMUM QUALFICATION AND EXPEREINCE
- Bachelor degree in an area of social development or equivalent
- Recommended a minimum of 2 years experience in Program Management and working in an NGO environment handling program operations activities
- Strong organizational, electronic information management and presentation skills and experience.
- Highly developed interpersonal and communication skills
- Good cultural awareness and ability to work well in an international environment with people from diverse backgrounds and cultures
- Ability and willingness to dramatically change work practices and hours, and work with incoming surge teams, in the event of emergencies
- Fluency in written and spoken English
- Ability to present complex information in a succinct and compelling manner
