 Background:

College of Health Science, Addis Ababa University in collaboration with Martin Luther University Halle-Wittenberg (MLU), Germany got support to promote a long-term project of medical development cooperation as of November 2018. Accordingly, the Else Kroener-Fresenius-Foundation tendered funds intended to improve medical training and/or serve patient care for cancer patients in Ethiopia. Addis Ababa University is seeking a competent and experienced Administrative Assistant to work for the "EKFS project" project.

Background and required competencies

  • A Bachelor Degree in Management from a recognized educational institution with at least two (2) years of relevant work experience.
  • Excellent computer skills, including word processing, proficiency with e-mail and Internet applications experience in using applications such as MS Word, MS-Excel
  • Ability, to give attention to details and to work effectively under pressure
  • Has experience in working in different projects, facilitation of different meetings, and experience in logistic management
  • Excellent communication skill

Expected roles and responsibilities of the Administrative Assistant

  • Analyses and maintain an overview of the office they are assigned to work and ensures that timely administrative support is provided in general and specialized areas;
  • Follow up on provision and keep up with tools and materials linked to the area of work.
  • Sourcing and ordering stationery and office equipment as may be required;
  • Supports the administration of all project and financial activities of the project
  • Closely work with the SPH Finance Head to ensure smooth and effective use of project finance
  • Prepares advance payment requests and reimbursement reports for students and project members
  • Record and update all financial transactions of the project and report variances to the Principal Investigator 
  • Develops and implements effective maintenance of the personnel records of the students and project members
  • Ensure all payrolls for project staff and payments to staff, suppliers, and service providers are prepared and effected in time
  • Supports the College of Health Sciences in the purchasing, receiving, storing, and use of project supplies.
  • Maintains continuous liaison with all majors. university administrative units to ensure consistency with existing policies and procedures
  • Provide administrative support following the project activity and budget plans
  • Promptly reports to the principal investigator on issues that may need the decision of the project management team

Duration of employment: Six months

Salary: Negotiable
