Job Description

The Embassy of Switzerland in Ethiopia is currently advertising one (1) position of Consular Assistant. The modalities of employment and application for the advertised position include the following elements:

Duties and competences that come along with this position:

  • Civil status: Counselling customers at counter, on phone and correspondence, processing and submitting civil status files to the competent Swiss authority, in collaboration with external partners
  • Updating the registry of Swiss citizens living abroad, identity documents, legalizations and certificates, phone duty
  • Visa: decisions on Schengen visas and visa in the competence of the FDFA, issuing national visa-D, conducting visa interviews, correspondence with customers, cantonal authorities and SEM
  • Assistance on naturalization inquiries
  • Assistance on consular protection cases
  • Archive, delivery to federal archive
  • Handling the representation's mailbox, general consular correspondence
  • Crisis management: updating crisis lists, maps of Addis Ababa and provinces
  • Deputy for: diplomatic pouch, key inventory in emergencies, telephone switchboard in emergencies
  • The Consular Assistant can be asked to perform other tasks by the Head of Consular Affairs and IT.

Administrative Unit & Duty Station: Embassy of Switzerland in Ethiopia (Addis Ababa)

Job Requirements:

  • Commercial training, independent work, customer-oriented, multilingual, sociable, team-oriented

Professional experience:

  • Diploma (Bachelor’s degree or above) in relevant field such as Business Administration or commercial apprenticeship (Swiss education system);
  • Relevant work experience (minimum five (5) years) in a private sector, civil society, government or international institution in a similar position;
  • Strong knowledge and understanding of administrative and financial processes; including their respective management tools

Skills:

  • Demonstrated communication skills
  • Strong social skills and ability to work in team
  • Excellent communication and organizational capacity
  • Ability to work independently and occasionally under pressure, with minimum supervision
  • Flexibility
  • High sense of personal responsibility
  • Knowledge of local languages (Amharic, Tigrinya, Somali ) is an important asset
  • Good computer skills notably Microsoft applications (Office Suite, Outlook)
  • Knowledge of one official Swiss language
  • Ability and interest to work within a multi-disciplinary and multi-cultural team
  • High level of integrity

The position will be based at the Embassy of Switzerland in Old Airport, Addis Ababa.
